About the Role
The receptionist is the first point of contact for all visitors and callers, responsible for facility operations and providing administrative support to legal staff. This role offers an opportunity to enter the legal field with potential for future advancement within the firm.
Responsibilities
- Welcome visitors and answer external phone calls, routing callers appropriately.
- Ensure the office, including reception area, kitchens, and conference rooms, are tidy and stocked.
- Order and organize office and kitchen supplies.
- Coordinate office maintenance repairs.
- Coordinate paper shredding and file pickup/return.
- Manage conference room reservations.
- Order catering for business functions.
- Distribute incoming and outgoing mail.
- Process urgent check requests and forward client payments to accounting.
- Provide administrative support to IT and Facility Services.
- Check in/out electronic equipment to office personnel.
- Update office directory and personnel lists.
- Handle office parking assignments and building access cards.
- Run errands for the office as needed.
- File legal documents, scan and save documents electronically, and make copies.
- Open new cases in the document management system and create hard files.
- Create contact sheets for new files.
- Type dictations and letters for attorneys.
- Box and close files upon completion.
- Maintain confidentiality for all cases.
- Perform other duties as assigned.
Requirements
- Excellent communication skills, particularly phone etiquette.
- Proficiency with Microsoft Office Suite.
- Typing and transcribing abilities.
- Multi-tasking capabilities.
- Business casual attire required Monday through Friday.
