About the Role

Octopus Legacy is dedicated to helping individuals plan for death and find support after loss, transforming traditionally cold processes into more human experiences by allowing users to share more than just money, such as voice notes, music, and recipes, to shape a legacy that connects them.

Responsibilities

  • Own day-to-day IT operations including user support, onboarding/offboarding, device management, account provisioning, and troubleshooting.
  • Manage and administer Google Workspace, including user accounts, groups, security policies, shared drives, and organizational configuration.
  • Manage Apple device fleet via MDM, covering provisioning, configuration, software deployment, security policies, and lifecycle management for MacBooks and iOS devices.
  • Maintain security and compliance by enforcing security policies, managing access controls, coordinating with the engineering team on infrastructure security, and ensuring audit readiness.
  • Manage vendor relationships with suppliers for hardware, software licensing, connectivity, and third-party services.
  • Document IT processes and systems, maintaining clear and up-to-date records for IT procedures, configurations, and disaster recovery plans.
  • Drive automation and efficiency across IT operations using AI tools and agent-based workflows to reduce manual processes and improve scalability.
  • Contribute to building a more self-service IT environment, enabling employees to resolve common issues independently through tooling, documentation, and automation.
  • Identify opportunities to streamline support using modern technologies such as AI assistants, workflow automation, and scripting.

Requirements

  • Strong hands-on experience administering Google Workspace at an organizational level.
  • Experience managing Apple devices (MacBooks, iPhones/iPads) using an MDM solution.
  • Proven ability to plan and execute IT and infrastructure projects from scoping through to delivery.
  • Experience with user onboarding/offboarding, account management, and IT support in a growing business.
  • Solid understanding of networking fundamentals, security best practices, and access management.
  • Organized, self-directed, and comfortable being the sole IT person, capable of prioritizing and managing workload.
  • Clear communicator able to work with both technical and non-technical colleagues.
  • Experience supporting IT through acquisitions or company integrations (Nice to Have).
  • Familiarity with SaaS administration (Slack, Notion, Jira, HubSpot, or similar) (Nice to Have).
  • Experience with cloud platforms (AWS, GCP) at an infrastructure level (Nice to Have).
  • Scripting ability for automation (Bash, Python, or similar) (Nice to Have).
  • Experience in a startup or scale-up environment where processes had to be built from scratch (Nice to Have).
