About the Role
The Leasing Administrator supports the professional leasing administration and operational coordination of a student housing community. This role ensures leasing administration, compliance, reporting, resident documentation, operational audits, and property readiness are completed accurately and efficiently to support occupancy goals, resident satisfaction, and operational excellence.
Responsibilities
- Build and maintain positive relationships with prospective and current residents.
- Develop strong working relationships with internal departments and external stakeholders.
- Support collaboration across Leasing, Operations, Finance, Revenue Accounting Team, and Marketing.
- Respond professionally to resident and prospective resident inquiries by phone, email, and in person.
- Resolve resident concerns or escalate appropriately.
- Provide proactive communication regarding leasing documentation, insurance, transfers, and move-in requirements.
- Support daily leasing administration from application through move-in.
- Support audits of applications, Secured Forms, Trackers, and supporting documentation.
- Support the maintenance of application trackers, pending audits, and leasing records.
- Coordinate and submit completed lease documentation with Revenue Accountants.
- Prepare and manage the Approved Lease Lists for the General Manager.
- Support lease deposit tracking and resident documentation compliance via approved templates and Post Lease Checklist (PLC).
- Support the administration of tenant insurance compliance platforms.
- Regularly review insurance submissions via the insurance platform and update PLC/Yardi records accordingly.
- Follow up on outstanding insurance requirements and escalate exceptions as required.
- Ensure all Centurion Property Associates' policies and procedures are adhered to at all times.
- Respond to Resident inquiries, concerns, and complaints in a timely, professional, and compassionate manner.
- Follow up with prospective Residents, assist with the application process, conduct property tours, and support leasing activities to achieve occupancy goals while maintaining strong closing ratios.
- Prepare and maintain accurate leasing documentation, Resident correspondence, and operational records.
- Complete Daily Traffic Reports (DTRs), market surveys, occupancy reports, leasing summaries, and operational audits, including website, social media, application, tour booking, and turnover tracker reviews, escalating discrepancies or trends to the General Manager.
- Ensure leasing offices and model suites are clean, fully stocked, and presentation-ready for tours, open houses, and other leasing initiatives.
- Coordinate with on-site teams to address presentation and operational concerns, support Facebook Marketplace advertising, and order leasing office supplies as required.
- Assist with the timely collection and deposit of rental payments and follow up on outstanding balances as required.
- Support the Assistant General Manager and General Manager with work orders, purchase orders, vendor coordination, document management, unit turnover activities, and other administrative or operational duties.
- Participate in process improvement initiatives and perform other duties as assigned.
- Support the preparation and maintenance of leasing reports, occupancy data, and administrative records.
- Maintain lease takeover and transfer trackers, resident rosters, and related communications, ensuring information is accurate and up to date.
- Complete hydro audits, verify utility account setup and closure requirements (where applicable), follow up on outstanding accounts, and support administrative requests related to hydro adjustments.
- Maintain organized leasing files and documentation, complete general clerical duties, and perform other administrative tasks as assigned.
Requirements
- A passion for excellence in customer service delivery.
- A minimum of 2 to 3 years of administration experience.
- Experience in Property Management or Student Housing/Residence is considered an asset.
- Strong interpersonal and oral communication skills.
- Excellent organizational skills with a strong ability to prioritize and multi-task.
- Able to work both independently and comfortably as part of a team.
- Aptitude for working in a deadline-oriented environment.
- Detail-oriented; able to resolve problems using facts, sound reasoning, and common sense.
- Forward thinking with an ability to develop creative strategic solutions to difficult issues in a timely manner.
- Strong command of MS Office products: Word, Excel, PowerPoint, Outlook.
- Commitment to discretion and confidentiality.
- Experience with Yardi property management systems is considered an asset.
