About the Role
As a Client Services Coordinator, you're at the forefront of the action, delivering exceptional support to the Broker Team. This role will include helping support the Business Development of Brokers through marketing efforts, creation of pitch decks and other graphic material along with managing the transaction communication, correspondence and process from commencement to completion. From project management to marketing wizardry, you're the go-to guru for all things real estate.
Responsibilities
- Balance multiple activities and projects at a time for multiple members of the team, and track action items, delivery dates/times and ‘manage up’ to completion of each project.
- Develop pitches and presentations for a varied range of clients for broker team.
- Execute marketing campaigns, including scheduling campaigns, maintenance of mailing lists, and running campaign reports.
- Update Brokers’ recent transactions on applicable websites, and client contract portals for both local and regional clients intel to be readily available.
- Participate in management and coordination of transaction and due diligence processes, entering deal sheets and submitting completed trade record and supporting paperwork, preparing invoices and tracking payments.
- Serves as the team's go-to resource for all AI-related initiatives, developing and maintaining prompt libraries, establishing best practices, providing training and support, and identifying opportunities to leverage AI tools to improve efficiency and outcomes.
Requirements
- 1-2+ years of marketing/administrative support services experience within Commercial Real Estate.
- Working experience and knowledge of AI tools such as ChatGPT, Claude, Copilot etc.
- Proficient in intermediate functions including MS Word, Excel, Powerpoint and comfortable with using network/cloud based systems.
- Excellent communications skills, both oral and written.
- Excellent organizational and prioritization skills.
