About the Role

This position is responsible for performing a wide variety of operations support activities, as well as handling clerical, office, and administrative functions for a designated operational unit. The role involves responding to inquiries, managing product distribution, entering data, coordinating logistics, and maintaining departmental records.

Responsibilities

  • Respond to telephone, in-person, or electronic inquiries from both internal and external customers.
  • Receive and distribute all manufactured products and investigate all inventory discrepancies.
  • Enter and maintain data in various organizational operational and administrative software.
  • Coordinate with logistics on the delivery of patient orders.
  • Run inventory reports, make stocking recommendations, and purchase needed supplies.
  • Maintain supply levels.
  • Maintain departmental records including payroll, training, customer order information, delivery of tickets, proof of delivery, and storage records in physical and electronic formats.
  • Complete daily administrative reviews, including producing correspondence, overseeing office supply orders, and maintaining forms and materials.
  • Process paperwork such as accounts payable forms, purchase orders, and requisitions.
  • Work with a team or independently on special projects/committees as assigned.
  • Adhere to NYBC quality standards.
  • Maintain patient, financial, and operational information confidentiality in accordance with Federal HIPPA laws and NYBC confidentiality requirements.

Requirements

  • High School Diploma or educational equivalent.
  • Two years of experience providing support to a small to medium operational unit, including operational duties.
  • Knowledge of a variety of computer software applications.
  • Knowledge of office management practices and procedures.

Skills

  • Cultural competency and the ability to communicate effectively in a culturally sensitive manner with individuals and groups from diverse backgrounds.
  • Attention to detail in composing/proofing correspondence, establishing priorities, and meeting deadlines.
  • Attention to detail and organizational skills.
  • Reliability and strong work ethic.

  • Two years of experience

Salary/Compensations

  • $26.00/hr to $30.00/hr for New York City or Westchester County
  • Salary will reflect local market rates and be commensurate with applicant’s skills, job-related knowledge, and experience for positions outside of New York City or Westchester County.
