About the Role

Responsibilities

• Monitor all inbound and outbound shipments daily to ensure timely delivery.
• Plan, execute, and monitor import & export shipments using the operating system “Maestro”.
• Coordinate collections, deliveries, drop offs, and recoveries with relevant departments, offices, agents, and drivers.
• Maintain constant communication with the Packaging Team regarding supply availability.
• Process and prepare temperature-sensitive shipments for Cold Chain transportation.
• Provide necessary documentation to agents/drivers for shipment handling.
• Confirm recovery completion by matching information against the manifest.
• Provide expedited dispatch and alert receiving agents/offices.
• Notify relevant parties of discrepancies and update Maestro.
• Confirm shipments are ready for dispatch and obtain Master Airway Bill (MAWB) consignment instructions.
• Define optimal routes for shipment dispatch.
• Condition shipments and update milestones in Maestro.
• Obtain airline bookings and consign the MAWB.
• Enter Route Leg for International Flights.
• Send alerts through Maestro.
• Coordinate shipment drop-offs to the airline.
• Update Maestro with departures from the airport using the Daily Schedule Report.
• Handle irregularities.
• Perform additional administrative work as needed.

Requirements

• Professional experience in customer service operations, preferably in international air freight, logistics, or distribution.
• Existing knowledge and experience of the pharmaceutical and clinical trial industry is preferred.
• Commitment to quality and attention to detail.
• Strong customer focus.
• Team player, self-dependent, and motivated to succeed.
• Proficient in MS Office / Excel / Word.
• Must be a U.S. Citizen or National of the U.S., an alien lawfully admitted for permanent residence, or an alien authorized to work in the U.S. for this employer.

• $27 per hour
• $22.75 per hour to $37.00 per hour
