About the Role

The Sales Coordinator will assist sales teams, facilitate communication between sales representatives, internal teams, and external vendors, and provide administrative support to enhance team efficiency and maintain positive customer relations.

Responsibilities

  • Provide administrative assistance and support to the Sales Team, including reviewing orders for accuracy in pricing, model numbers, specifications, options, sales tax, and customer information.
  • Process and enter signed sales orders into the accounting system, assist with equipment ordering, track delivery, and coordinate with Service and Installation Departments to meet customer timelines.
  • Enter customer information into logging systems such as SAP and/or Salesforce.
  • Serve as a customer support expert, answering phone calls and emails, confirming and communicating order status, notifying of delays, answering inquiries, and confirming order details.
  • Collaborate with the Sales Manager or GM to build and process special projects, including construction contracts and public works contracts, which may involve prevailing wage rates, filing intents, and affidavits.
  • Partner with warehouse, parts, and service departments to verify availability of parts, equipment, and personnel.
  • Assist with the creation and submission of invoices for completed projects, including necessary paperwork like lien waivers and applications for payment, ensuring timely payment.
  • Verify that all available equipment and freight discounts and rebates have been applied, post Vendor Warranty Credits, and process Credit Card Returns.
  • Act as a liaison between customers and the office, educating customers and promoting company products and services while staying knowledgeable about special factory promotions.
  • Participate in process improvement initiatives as a Cross-Functional team member.
  • Forward potential leads and information to sales representatives according to the territory map and communicate top-level escalations to the Sales Manager or General Manager.

Requirements

  • High School diploma or equivalent required.
  • Completion or pursuing an associate or bachelor’s degree strongly preferred.
  • At least 4 years of related work experience in sales, administrative support, or project coordination preferred.
  • An equivalent combination of education, training, and experience will be considered.
  • Experience with SAP and Salesforce, or other CRM systems, strongly preferred.
  • Proficient computer skills including using MS Outlook, Word, and Excel preferred.
  • Experience in telephone and email/ticketing system-based customer support preferred.
  • Excellent planning and organization skills.
  • Strong project coordination skills and associated task execution.
  • Ability to critically assess and problem-solve by drawing on sales knowledge and previous experience.
  • Solid organizational skills and detail-oriented.
  • Ability to self-manage workload and multiple projects simultaneously while managing and meeting deadlines.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to communicate effectively and professionally across all levels of the organization while maintaining a positive and enthusiastic demeanor.
  • Strong work ethic; self-starter, demonstrating a proactive approach, self-initiative, and tenacity.
  • Resilient; able to confidently navigate ambiguity and change.
  • Position involves sitting long periods, standing, manual dexterity, stooping, bending.
  • Position requires the ability to lift, carry, push, and pull up to 25 lbs. occasionally.
  • Regularly required to talk and hear; and use hands to manipulate objects or controls.
  • Requires periods of sitting; close vision and ability to adjust focus.

Salary/Compensations
