About the Role
We're adding a dedicated Executive Assistant & Office Manager to support our Exec team and run the day-to-day operations of our New York office. You'll be the person who keeps leadership organized and our NYC space running smoothly, so our teams, candidates, customers, and visiting executives all have a high-quality experience. You'll report to our Chief of Staff and work closely with our NYC and Paris headquarters across time zones. Your work directly frees up leadership to focus on high-impact priorities by reducing administrative overhead and making sure key meetings, hiring processes, travel, and operations run efficiently and consistently.
Responsibilities
- Executive support to the US Executive team
- Own complex calendar and scheduling management
- Plan and book travel, and handle the logistics of customer meetings
- Prepare leadership meetings (agendas, materials, follow-ups)
- Coordinate candidate visits tied to the American in office teams
- Handle day-to-day administrative operations
- Ownership of the New York office support
- Serve as the primary operational owner of the NYC office
- Manage office access, common areas, deliveries, and packages
- Host and coordinate employee, candidate, and customer visits
- Coordinate executive visits from our Paris headquarters
- Employee event scheduling and logistics
- Provide scheduling and logistical support for additional Paris-based executives
Requirements
- 4+ years proven experience as an Executive Assistant supporting senior leaders, ideally in a fast-paced or scale-up environment
- Strong organization and prioritization skills, with the ability to manage complex calendars, travel, and competing demands at once
- Office or facilities management experience (access, vendors, purchasing, negotiation, visitors, deliveries)
- Excellent written and verbal communication
- Sound judgment and absolute discretion when handling confidential information
- Comfort coordinating across US and European time zones
- Based in New York City and able to work at least 4 days a week from the office (Manhattan)
- Familiarity with AI productivity tools to streamline your work
- Experience in the US office of a European-headquartered company and cross-culture interactions
