About the Role

The Service Coordinator supports the daily operations of a premium residential community, acting as a key liaison between residents, concierge, maintenance, management, and service partners to ensure requests are handled efficiently. This role also provides administrative support for property operations, finances, leasing, resident communications, and compliance.

Responsibilities

  • Respond to resident inquiries, feedback, concerns, and complaints via phone, email, and resident platforms.
  • Assist with resident-facing activities such as move-ins, welcome materials, amenity bookings, and event calendars.
  • Receive, prioritize, log, assign, track, and follow up on resident and operational requests, including work orders.
  • Collaborate with Concierge, Maintenance, Management, and contractors to ensure timely service delivery and clear communication.
  • Prepare resident communications, standard correspondence, and Residential Tenancies Act documentation.
  • Support daily property and office administration, including document management, filing, and supplies.
  • Assist with rental payment monitoring, accounts receivable updates, collection follow-up, and payables.
  • Track lease renewals and support leasing activities, including responding to prospect inquiries.
  • Maintain accurate and confidential information within property management and resident service systems.
  • Identify and report recurring service or administrative issues to the appropriate team members.

Requirements

  • Highly organized with the ability to manage multiple requests and deadlines in a fast-paced environment.
  • Clear and professional written and verbal communication skills.
  • Sound judgment, discretion, and a professional approach when handling confidential information.
  • Reliable follow-through and ability to maintain accurate records.
  • Minimum 2+ years of experience in customer service, hospitality, administrative, residential property management, or a similar service-driven environment.
  • Experience supporting administrative processes and coordinating requests across multiple stakeholders.
  • Proficiency with Microsoft Office (Outlook, Word, Excel) and digital systems/databases.
  • Working knowledge of the Ontario Residential Tenancies Act or ability to quickly develop this knowledge.
  • Ability to work a flexible shift schedule, including evenings, weekends, and holidays.
