About the Role
The Sales, Marketing & Executive Coordinator supports the Director of Sales & Marketing, Sales Managers, Marketing team, and General Manager with administrative, creative, client-facing, and operational responsibilities. This role is central to coordinating client communications, sales proposals, site visits, VIP arrivals, marketing activations, social media content, partnerships, amenities, reporting, and executive projects.
Responsibilities
- Serve as a key point of support between Sales Managers, clients, internal departments, and hotel leadership.
- Assist with client inquiries, proposals, contracts, presentations, lead assignments, reports, and follow-up communication.
- Support site visits, client appointments, VIP arrivals, media visits, and partner experiences.
- Help prepare professional sales materials, presentations, reports, and correspondence.
- Maintain organized systems for contracts, client files, reports, event orders, and department communication.
- Partner with internal teams including Front Office, Food & Beverage, Banquets, Housekeeping, Engineering, and Accounting to help ensure a seamless client and guest experience.
- Assist the General Manager and Director of Sales & Marketing with special projects, presentations, VIP visits, and executive-level communication.
- Coordinate VIP amenities, personalized guest touches, welcome notes, special requests, and internal communication for high-profile guests and clients.
- Help ensure that important guest, client, media, and partner experiences are handled with polish, accuracy, and urgency.
- Jump in where needed to support a collaborative, fast-moving team environment.
