About the Role
The Meeting Planner will work under limited direction to manage company meetings and events, partnering with management, investor relations, and the Investment Group to execute research meetings and conferences. This role involves end-to-end planning, from concept and budgeting to execution and post-event analysis, ensuring strategic alignment with business objectives.
Responsibilities
- Design, develop, plan, execute, and manage budgets for company meetings and events.
- Partner with the Investment Group and Corporate Access team to execute investment research meetings.
- Plan and schedule research trips, conferences, and industry expert events.
- Conduct strategic pre-trip planning to determine optimal target cities and companies.
- Manage event logistics including venue selection, vendor negotiation, audio/visual technology, catering, transportation, and accommodations.
- Prioritize and manage multiple meetings, timelines, stakeholders, and vendors.
- Oversee attendee management, including communications, registration, and onsite health and safety.
- Perform post-event analysis, including ROI evaluation and lessons learned.
- Maintain CRM databases and distribution lists.
- Monitor industry trends and competitive landscapes to inform new event experiences.
- Participate in special projects to improve departmental operations.
Requirements
- Intermediate knowledge of meeting and event planning.
- Ability to work under limited direction on complex or high-impact situations.
- Familiarity with industry sectors and clusters, disaggregation policy, and confidential material management.
- Native level proficiency in Japanese.
- Conversational proficiency in English.
- Ability to travel up to 30%, including international travel.
- Ability to stand and walk for up to 8 hours a day.
- Ability to transport supplies and materials weighing up to 50lbs/23kgs.
- Availability for a flexible schedule, including evenings, early mornings, and weekends.
- Possession of a valid driver's license and ability to drive a personal vehicle to events.
