About the Role

Lantern is seeking a Marketing Operations Specialist, Intake to manage the operational center of member activation programs. This role serves as the primary intake point for campaign and client activation requests, ensuring all requests are documented, approved, and meet readiness criteria before fulfillment. The specialist will coordinate approvals, manage campaign assets, and track client readiness for both awareness and targeted marketing programs. This position requires exceptional organizational skills, strong follow-through, and a proactive approach to managing high volumes of concurrent work across multiple departments and external partners.

Responsibilities

  • Own and manage the intake queue end-to-end, triaging and routing incoming requests.
  • Review intake submissions for completeness and accuracy, following up with requestors for missing information.
  • Ensure all client requirements and approvals are in place before handoff for both standard and custom client campaigns.
  • Chase and track pending campaign approvals, proactively following up with internal stakeholders and Client Success.
  • Maintain and improve intake forms, request templates, and workflow documentation.
  • Manage day-to-day maintenance of the tracking board from client authorization through ready-to-activate status.
  • Document client approval and manage the approval flow through Salesforce.
  • Ensure all intake requirements and approvals are in place before hand-off to fulfillment for client activation.
  • Contribute updates to weekly status meetings, flagging pending or blocked requests and upcoming volume.
  • Provide intake workflow input for process design and SOP documentation.
  • Track intake volume and turnaround metrics, surfacing trends, backlogs, and capacity flags.
  • Support the broader Marketing Operations team in building scalable, repeatable processes.

Requirements

  • Bachelor’s degree in Marketing, Business, Communications, or a related field, or equivalent practical experience.
  • 2–3 years of experience in marketing operations, project coordination, or a related field.
  • Experience managing a high-volume intake, approval tracking, or request management workflow.
  • Proficiency with project management or work management tools (Monday.com or similar).
  • Strong written communication skills; comfortable following up with stakeholders at all levels and routing requests with clear, complete context.
  • High attention to detail with the ability to manage multiple concurrent requests without losing accuracy or timeliness.
  • Familiarity with CRM or marketing automation platforms (Salesforce or SFMC) is a plus.
  • Experience working within a cross-functional marketing team in a healthcare, benefits, or B2B environment is a plus.
  • Exceptional level of organization and a systematic approach to managing high volumes of parallel requests and approvals simultaneously.
  • Proactive communication and ownership of follow-through.
  • Ability to enforce intake standards with confidence, ask clarifying questions, and maintain a high bar for accuracy.
  • Ability to identify opportunities to reduce cycle time, eliminate bottlenecks, and continuously improve.
  • Ability to thrive in connector roles, building trust across cross-functional teams while keeping the pipeline moving.
