About the Role
This role provides essential administrative support to agency programs and teams, coordinating requests, maintaining client information, and managing various office operations to ensure smooth program delivery.
Responsibilities
- Provide administrative support to Agency programs and teams.
- Coordinate program-related requests and maintain client information in case management systems.
- Schedule, attend, and coordinate meetings (in-person and Zoom), including preparing agendas and recording minutes.
- Respond to inquiries from clients, visitors, and staff.
- Ensure accurate tracking and distribution of client-related vouchers (e.g., cheques, food vouchers, TTC tokens).
- Manage inbound/outbound mail, courier services, and electronic faxes.
- Assist with bulk mailings and maintain office supplies.
- Provide assistance with case file maintenance, including scanning.
- Perform other duties as assigned.
Requirements
- A post-secondary degree/diploma in Office Administration or a related field.
- Minimum of 2 years of office experience (non-profit experience is an asset).
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and case management software.
- Strong verbal communication skills for diverse interactions, including supporting clients and collaborating with referring partners.
- Excellent multitasking and organizational abilities.
- Fluency in Hebrew and/or Russian is required.
- Flexibility to work evenings and travel between branches is required.

- Mix of daytime and evening shifts
- At least three evenings per week from 12:00 p.m. to 8:00 p.m.
- Other shifts scheduled during regular business hours from 9:00 a.m. to 5:00 p.m.
