About the Role
The Accountant role at The Museum of Modern Art focuses on accounts receivable management, including reconciliations, payment application, credit card processing, collections, and aging reports. This position also involves creating journal entries, resolving discrepancies, and uploading expenses. The Accountant supports the Manager of Investments, Fixed Assets and Donor Accounting and will implement business intelligence systems for process optimization, fostering a customer service-focused environment.
Responsibilities
- Prepares account reconciliations and clears outstanding items from reconciling schedules, including receivable-related accounts.
- Applies payments received (cash, wires, checks) to customer records using payment applications.
- Processes credit card transactions from all revenue channels as needed.
- Coordinates the bill collection process, including initiating and monitoring collections for overdue accounts.
- Prepares accounts receivable monthly aging analysis and distributes the aging report by the fifth business day, ensuring accurate calculations for AR reserve recording.
- Monitors and responds to accounts receivable help desk tickets, tracking requests such as write-offs and payment transfers, and completing them in a timely manner.
- Calculates and maintains all receivables for the Museum, including lease tenants and auxiliary revenue streams.
- Creates month-end prepaid and cash journal entries.
- Reconciles income statement and balance sheet general ledger accounts and assists with variance analysis.
- Reconciles bank account statements/activity to general ledger cash accounts, researching and resolving discrepancies.
- Monitors and reconciles internal staff grants for accurate general ledger coding and timely settlement.
- Assists with external and internal audit requests, including preparing year-end schedules and analysis.
- Supports the development and implementation of new or revised accounting systems, programs, and procedures.
- Utilizes AI platforms to expedite month-end close and automate processes.
- Prepares monthly journal entries for Travel & Entertainment (T&E) expenses.
- Performs general ledger account reclassifications to correct miscoded expenses.
- Collaborates on a project team to perform parallel testing and ensure timely completion of deliverables.
- Assists with the accurate recording and uploading of investment-related transactions.
- Assists with monthly reconciliation of all investments, debt, and pledge accounts and prepares corresponding roll forward schedules.
- Assists with calculations and applies depreciation to fixed assets, maintains fixed asset roll forward schedules, and monitors capital projects.
- Performs other duties reasonably related to the functions of this role and participates in special projects.
Requirements
- Bachelor’s degree in accounting.
- Minimum of three to five years of accounting experience, preferably in a museum or not-for-profit environment.
- Strong knowledge of GAAP accounting and accounts receivable policies/procedures.
- Exceptional verbal and written communication skills.
- Excellent interpersonal skills.
- Self-starter with strong detail orientation and highly organized work habits.
- Experience and proficiency in Certinia (Accounting System) is a plus.
- Proficient in Microsoft Office, including advanced Excel skills (pivot tables, VLOOKUP), Word, and PowerPoint.
- Proven ability to work efficiently and manage multiple priorities simultaneously with sound judgment in a fast-paced accounting environment.
- On-site presence is required four days per week.
- Offer of employment is contingent on satisfactory completion of a criminal background check due to PCI DSS scope.
