About the Role

The Office Manager oversees the daily administrative and operational functions of the Student Health and Counseling Services office. This role manages the SVA-sponsored student health insurance plan, ensures compliance with New York State immunization mandates, and serves as the primary point of contact for clinical staff and students.

Responsibilities

  • Manage therapy, psychiatry, and nursing appointments for students.
  • Handle sensitive student information and medical records with strict discretion.
  • Manage administrative tasks for programming and participate in campus events.
  • Monitor the department inbox, send mass communications, and update digital platforms.
  • Onboard new staff and provide instruction on office workflows and the Titanium system.
  • Order office supplies and oversee general office organization.
  • Oversee daily administration of the SVA-sponsored student health insurance plan.
  • Serve as the primary point of contact for insurance inquiries and the waiver process.
  • Maintain relations with insurance brokers and coordinate enrollment and appeals.
  • Reconcile insurance rosters and invoices to ensure accurate enrollment.
  • Oversee data entry, tracking, and verification of student immunization records.
  • Support department compliance with New York State immunization requirements.
  • Communicate compliance expectations to faculty, staff, and students.

Requirements

  • Bachelor’s degree.
  • Two years of professional experience in higher education, healthcare administration, or health program management.
  • Advanced proficiency in Microsoft Office and Google Suite.
  • Ability to lift or move office supplies weighing up to 25 lbs.
  • Ability to stand, walk, or sit for prolonged periods.
  • Must be available for occasional work outside standard hours for campus events.
