About the Role
Nebius is seeking an Assistant to join the Communications team. This role is central to daily operations, providing support in vendor and contract management, event organization, executive assistance, and operational tasks. The ideal candidate will act as a trusted coordinator, working closely with various departments to ensure smooth operations and anticipate needs.
Responsibilities
- Own vendor management end-to-end, including selection, onboarding, contracting, and payment processes.
- Facilitate contract terms negotiations between legal, project teams, and vendors.
- Maintain accurate records of agreements, renewals, and vendor relationships.
- Plan and execute team events, from concept and budgeting to logistics and on-the-day coordination.
- Partner with internal stakeholders to align events with team goals.
- Maintain shared drives, workspaces, and documentation for easy team access.
- Take meeting notes and track action items, owners, and deadlines.
- Identify inefficiencies and propose process improvements for team workflows.
- Utilize AI tools to streamline administrative tasks.
- Provide personal assistance to CCO and Department Heads, including travel and calendar management.
- Coordinate internal and external meetings, preparing necessary materials.
Requirements
- Bachelor's degree, ideally in Business Administration, Communications, or a related field.
- 1–3 years of experience in a team assistant, office coordinator, executive assistant, or administrative support role.
- Previous experience in a fast-paced, cross-functional team environment.
- Fluency in English (written and verbal).
- Proactivity and initiative.
- Problem-solving skills.
- Comfort or eagerness to learn AI tools for efficiency.
- Strong organization and time management skills.
- Ability to build trust-based relationships.
