About the Role
The Office Assistant/Manager plays a key role in maintaining a welcoming, inspiring, and productive workspace, orchestrating an enjoyable office experience for staff and clients. This role provides support to Operations, P&C, and Leadership teams for company events, onboarding, and marketing initiatives.
Responsibilities
- Maintain office space cleanliness, layout, and tidiness; ensure office supplies and fridges are well-stocked.
- Manage front-of-house experience, including visitor arrivals, meeting room setups, and catering.
- Contribute to managing the office budget, tracking costs for supplies and building services.
- Own the physical and administrative setup for new hires and leavers.
- Proactively identify opportunities for improvement in office operations and systems.
- Coordinate regular staff events (e.g., Monday breakfasts, weekly lunches) and manage hosting schedules for monthly agency meetings.
- Foster a positive, collaborative culture by strengthening team connection and ensuring employees feel supported and engaged.
- Lead end-to-end logistics, venue sourcing, and travel coordination for large-scale team offsites and client events.
- Assist in executing culture-led and DE&I initiatives to boost team engagement.
- Provide general administrative assistance to the CEO to streamline daily business operations.
- Manage travel itineraries, accommodation bookings, meeting schedules, and expense tracking for the CEO.
- Coordinate the development of marketing campaigns, including drafting copy and managing the production of marketing collateral.
- Manage website, email marketing, and social media channels (content creation, scheduling, engagement, and optimization).
- Manage the creation and tailoring of case studies and industry award entries.
- Support the sales function in managing and administering CRM data and inbound inquiries.
Requirements
- Around 2+ years of experience in a fast-paced office management, administrative, or similar environment.
- Love people and culture, naturally bringing fresh ideas to enhance team morale and workplace engagement.
- Natural planner, capable of organizing team events from start to finish.
- Possess a 'can-do, will-do' attitude, be highly proactive, detail-oriented, and know how to prioritize.
- Maintain a calm, approachable presence, serving as a trusted point of contact for stakeholders at all levels.
