About the Role

The Administrative Practice Coordinator provides high-level, administrative support to a designated practice area, collaborating closely with practice group partners and other departments to ensure exceptional client service.

Responsibilities

  • Manage administrative tasks, including coordinating travel and managing calendaring.
  • Support business development and marketing efforts.
  • Execute complex tasks and projects.
  • Perform complex assignments under time-sensitive deadlines, including coordinating travel and managing calendars.
  • Enter attorneys' time records, submit expense reports, and assist with vendor invoice processing.
  • Collaborate with Partners and Client Accounting for accurate client billing.
  • Support document management and records retention for administrative files.
  • Perform printing, scanning, duplicating, and quality control tasks.
  • Manage high-volume, multi-matter calendaring for practice group partners.
  • Maintain and monitor a high-volume partner inbox, flagging urgent items and compiling open-items lists.
  • Draft and circulate weekly new matter reports.
  • Flag and route client billing communications to the billing team.
  • Prepare engagement letters and new matter memos.
  • Assist with the new-business conflicts process.
  • Prepare materials for presentations, pitches, and conferences.
  • Support Business Development efforts by entering activities and maintaining contact records.
  • Assemble targeted mailing lists in InterAction.
  • Proactively track and report Business Development meetings and activities.
  • Assist with Charitable Donation Requests.
  • Collaborate with the People Strategy team to draft and distribute information, coordinate meetings, and facilitate training.
  • Monitor docket and calendar notices and highlight matters of interest.
  • Coordinate sponsorship forms and conference participation for industry events.
  • Coordinate with Conference Services for internal and client meeting requests.
  • Receive and interact with incoming clients and visitors.
  • Demonstrate effective interpersonal, written, and verbal communication skills.
  • Manage Firm resources responsibly.
  • Comply with Firm operations, policies, and procedures.
  • Maintain a reliable physical presence in the office four days a week.
  • Perform other related duties as assigned.

Requirements

  • Familiarity with complex litigation practice environment or similar skillset.
  • Ability to provide excellent customer service.
  • Demonstrates high-level of professionalism.
  • Ability to read, interpret, convey, and follow instructions.
  • Ability to synthesize information to prioritize and organize tasks.
  • Knowledge of relevant Firm computer software programs (e.g., Outlook, Excel, PowerPoint) with the ability to learn new software.
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing.
  • Maintains a calm and professional demeanor.
  • Demonstrates close attention to detail.
  • Ability to handle multiple projects and assignments with shifting responsibilities and deadlines.
  • Ability to handle sensitive matters and maintain confidentiality.
  • Ability to work well under pressure.
  • Ability to work well in a demanding and fast-paced environment.
  • Ability to work well independently as well as effectively within a team.
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs.
  • Must be a Notary Public licensed in New York or able to obtain a commission within six months of joining the Firm.
