About the Role

An opportunity has arisen for a Portfolio Management Analyst to join the Enterprise Technology team. You will support, enable, and track the successful delivery of change and BAU portfolios, working closely with Project Managers and Delivery teams. You will ensure all aspects of the portfolio are effectively tracked and reported to the CTO and the Enterprise Technology Leadership Team. You will be required to constantly find improvements for portfolio processes, the change management tool, the wider change delivery framework, and interactions with Technology teams and the business.

Responsibilities

  • Participate in portfolio planning and reforecasting processes, including budgets, benefits, prioritization, timelines, and resource modeling, and communicate results to stakeholders.
  • Work with delivery and finance teams to build robust business cases, including costs and benefits, and ensure they are updated by delivery teams.
  • Maintain the portfolio roadmap, track portfolio maturity, attend portfolio meetings, and prepare necessary documentation.
  • Resolve recharge queries for the team and be aware of the impact of the current portfolio on wider Technology and other business units/departments.
  • Track and report on resourcing across the department and advise on utilization.
  • Co-ordinate, contribute to, check, and submit QCR packs or required reports by the Group deadline.
  • Provide statistics for the QBR or relevant forum.
  • Fulfill CIO requests for information.
  • Maintain awareness and understanding of all active change and BAU initiatives within the portfolio.
  • Attend and support relevant change meetings, especially those flagged as red or amber, and at key milestones.
  • Ensure tracking and reporting of the realization of benefits.
  • Ensure blended rates are recalculated and updated in the change tool.
  • Support the Enterprise Technology change and LT team to raise Purchase Orders and ensure best practice for their creation and management.
  • Validate reports issued by the Finance team for accruals within Marketplace.
  • Ensure monthly reconciliation of Oracle and change tool actuals.
  • Validate the corporate dashboard for Oracle actuals with the finance partner.
  • Support the GES change team and EPM team in using the recharge process.
  • Highlight costs in Oracle not assigned to relevant change and work with the Portfolio Manager and finance partner to assign them.
  • Explain, negotiate, and agree on change methodology and governance to embed best practice across the change team.
  • Develop knowledge management for future change from past deliveries.
  • Act as a Subject Matter Expert in the tools used to manage change and serve as the point of reference for platform queries, issues, and training.
  • Recommend improvements and participate in testing functionality enhancements for change management tools.
  • Carry out local data remediation and maintenance of the tools to meet team needs.
  • Utilize various tools to provide first-class communication to stakeholders on releases, changes to governance standards, or framework.
  • Enhance and maintain governance for portfolio delivery to ensure compliance with agreed standards.
  • Escalate non-compliance issues to management in relation to governance.
  • Establish and manage a schedule of gate, milestone, and quality reviews to ensure change standards are delivered.
  • Perform regular audits and health checks to ensure deliveries are reviewed at key points and upon completion.
  • Ensure adherence to localized reporting cadence and standards.
  • Develop and manage effective portfolio reporting, including tracking KPIs/OKRs, to enable data-driven decisions.
  • Define new reporting requirements and collaborate with PowerBI SMEs to ensure production.
  • Provide visibility of conflicts, risks, issues, and dependencies, and work with stakeholders to manage and resolve/mitigate them across the portfolio.
  • Actively participate in relevant communities of practice within and outside the Group IT department.
  • Establish and maintain relationships with stakeholders at all levels.
  • Engage and work collaboratively with colleagues and partners.

Requirements

  • Proven experience in a change-related role.
  • Ability to influence and challenge stakeholders.
  • Knowledge and previous experience of using a Portfolio Management tool.
  • Knowledge of both waterfall and Agile delivery.
  • Strong presentation, written and verbal communication skills to build and develop relationships with internal and external stakeholders.
  • Energy and determination to succeed in a very fast-paced environment.
  • Advanced Microsoft Office user.
  • Passion for change and the customer experience.
  • Self-motivated, able to supervise own workload and produce consistent, high-quality outputs.
  • Able to prioritize competing demands in a challenging delivery environment to ensure work is delivered to tight timelines.
