About the Role

The Department and Operations Coordinator role supports Marketing Research Analytics and Global Campus Marketing within Enrollment Management at Northeastern University. This position provides centralized operational and project support, managing day-to-day operations including project intake, tracking, contracts, invoices, and internal documentation. The role utilizes tools like Asana and SharePoint to organize digital assets and coordinate marketing campaigns across regional and international markets, requiring independent project management and prioritization in a fast-paced environment. This is a 12-month position ending in July 2027.

Responsibilities

  • Manage contract workflows and oversee invoice submissions, ensuring accuracy and timely processing.
  • Set up and manage Asana boards to track paid media campaigns, content planning, and external vendor coordination across regional campuses and international markets.
  • Develop and streamline the regional marketing intake process to improve request intake and workflow efficiency.
  • Research, vet, and coordinate with external vendors across regional campuses and international regions, including photographers, media partners, and designers.
  • Lead the setup and organization of a digital asset management system, including creating internal documentation and supporting the rollout.
  • Reorganize and optimize the SharePoint site structure, collaborating with Marketing Managers to centralize and migrate files.
  • Support, prepare, and maintain internal marketing documentation for marketing projects, including project documents, guides, media plans, and budget trackers.
  • Other duties may be assigned as required.

Requirements

  • Bachelor’s degree required.
  • 2–4 years of experience in an office environment.
  • Experience in project and administrative coordination is preferred.
  • Strong project coordination and time management skills, with the ability to manage, prioritize, and execute multiple tasks simultaneously in a fast-paced environment.
  • Candidate must be a self-starter who is highly motivated, can think independently and analytically, is organized, and extremely detail-oriented.
  • Proactive and resourceful, with the ability to anticipate challenges, identify solutions, and adapt to changes in processes and priorities.
  • Ability to collaborate cross-functionally and communicate effectively with stakeholders, vendors, and partners across global regions.
  • Strong experience with databases and data tools to streamline reporting, budget tracking, and operational processes.
  • Applicant must be legally entitled to work in Canada for the duration of the appointment or employment without employer sponsorship.

Skills

  • Familiarity with general marketing workflows, CRM systems, and major digital paid media platforms is an asset.
  • Experience with tools such as SharePoint, Asana, or similar platforms is an asset.
