About the Role

As the Front Office Manager, you are the heartbeat of our office. You welcome people, keep daily operations running smoothly, and ensure our space is not only functional but also feels good. You maintain an overview during busy periods and ensure no one is turned away.

Responsibilities

  • Serve as the external face of the company, providing a positive first impression to all visitors, callers, and email inquiries.
  • Manage incoming and outgoing communications, including phone calls, emails, mail, and packages, prioritizing and directing them to the appropriate individuals.
  • Oversee calendar management for founders, organizing appointments, priorities, and meetings to ensure a structured day and adequate time for important matters.
  • Plan and book travel, accommodations, and appointments for founders and the leadership team, handling last-minute changes as needed.
  • Prepare for meetings and guest visits, including room setup, documentation, catering, and tour logistics, ensuring guests feel welcomed with thoughtful touches.
  • Maintain digital and physical document management systems, ensuring contracts, presentations, invoices, and other documents are well-organized and easily accessible.
  • Support the organization and execution of team events, offsites, and internal functions, assisting with venue preparation, catering, and on-site support.
  • Manage office ambiance by ensuring availability of coffee, snacks, and maintaining overall order, proactively addressing needs before they arise.

Requirements

  • Previous experience in reception, front desk, hospitality, office management, or customer service, preferably in a dynamic, fast-paced environment.
  • Genuine service orientation and warmth; ability to approach people openly and quickly understand their needs.
  • Strong organizational skills and a hands-on mentality; ability to bring order to chaotic situations and actively participate in tasks.
  • Reliability and discretion, even when managing multiple priorities.
  • Proficiency with standard office tools (e.g., Google Workspace) and willingness to learn new software like Personio or Moss.
  • Curiosity about robotics, AI, and deep tech.
  • Excellent written and verbal communication skills in both German and English.
  • Ability to work on-site in Berlin daily.
