About the Role
The Sales Coordinator is responsible for managing the flow of work for the department, including the coordination of in-house paperwork and client contracts. This role assists with documentation creation, handles departmental phone calls, generates reports, manages special projects, and qualifies/distributes leads and inquiries. The position will be a key administrator of Delphi.
Responsibilities
- Promptly answer phone calls and direct them to the correct sales team member.
- Provide assistance and answer questions from in-house conference guests.
- Ensure prompt issuance of proposals, contracts, and collateral requests.
- Input and produce contracts in consultation with the Director of Sales.
- Prepare letters, memos, contracts, and proposals for the assigned market.
- Distribute sales and statistical booking productivity reports, bookings, and contracts to appropriate departments.
- Respond to telephone inquiries, distribute incoming calls, take messages, provide information, and handle customer complaints in the absence of Sales staff.
- File materials and update the sales activity trace system.
- Maintain an organized work environment.
- Assist the Director with administrative advertising and marketing duties.
- Prepare special requests and amenities for VIP guests.
- Replenish sales kit supplies and prepare kits for the team.
- Order sales and catering supplies and maintain inventory of all supplies and collateral.
- Assist in the preparation of in-house sales promotions, receptions, and client functions.
- Follow up on bookings and obtain additional information to complete sales files.
- Facilitate and expedite all dealings with clients, including contract finalization, after negotiations.
- Maintain and update the database.
- Assist in the greeting and departure of groups, site inspections, or walk-ins.
- Attend weekly sales and/or committee meetings as assigned and take minutes.
- Perform other duties as assigned.
Requirements
- Minimum of 2 years of experience in a hotel or related industry.
- Ability to communicate effectively with all levels of guests, employees, and management.
- Excellent organizational, computer, analytical, and problem-solving skills.
- Very strong oral and written communication skills.
- Energetic and outgoing with a positive attitude, driven to provide outstanding guest service.
- For internal candidates: must be an active employee in good standing and employed for a minimum of 12 months.
