About the Role

Allied is seeking an Assistant Property Manager, Retail to oversee approximately 320,000 square feet of retail space at The Well, including the Wellington Market. This role supports the retail Property Management team by overseeing tenant relations, retail operations, building standards, financial performance, and operational administration. The goal is to maintain a high-quality tenant and guest experience while ensuring the retail portfolio operates effectively and meets operational and financial expectations. This is an opportunity for an experienced property administrator or leader with expertise in complex retail environments, relationship building, and a service-oriented approach.

Responsibilities

  • Provide a high level of customer service to all clients, colleagues, and tenants.
  • Report periodically to management on tenant status.
  • Perform site and tenant inspections.
  • Attend monthly tenant meetings.
  • Handle tenant requests or emergency situations.
  • Assist with inquiries from building operators, operations, and security regarding retail areas.
  • Maintain accurate tenancy information in property management/accounting systems.
  • Keep building information data up-to-date.
  • Oversee tenant improvement and/or landlord's work as required.
  • Assist with leasing and marketing efforts as required.
  • Assist in the preparation of annual operating and capital budgets for the retail component.
  • Assist with monthly financial reporting for each property.
  • Assist with the review and delivery of year-end recovery adjustments, ensuring compliance with lease requirements and deadlines.
  • Review lease workflows for accuracy and completeness of lease abstracts and recovery methodologies.
  • Coordinate, collect, and report on tenant rental payments.
  • Prepare tenant account reconciliations as required.
  • Collect and report tenant sales as required.
  • Review payables for accuracy and completeness.
  • Prepare and control purchase orders, ensuring accurate billing of work.
  • Work with suppliers to ensure services are performed and invoiced correctly.
  • Monitor and assign work orders in the software system.
  • Maintain, track, and report on work order status in the maintenance reporting software system monthly.
  • Assist with property certifications such as LEED, WELL etc.
  • Assist with event coordination and administration as needed.

Requirements

  • College or University Degree in a related field.
  • Minimum 2-5 years of experience in property management with administrative and financial responsibilities.
  • RPA designation completed or in progress is an asset.
  • Retail management experience preferred.
  • Strong communication and interpersonal skills, including a proven ability to build relationships.
  • Ability to work in a fast-paced environment.
  • Knowledge of Yardi is an asset.
  • Experience in accounting, budgeting, and building systems.
  • Responsiveness and ability to anticipate client needs and commit to timely responses.
  • Demonstrates resilience, passion, and commitment to deliver and be accountable for results.
  • Assertive self-starter with the ability to work independently under minimal supervision.
  • Strong computer skills, with good knowledge of MS Excel and MS Word.
