About the Role
Maintain a presence in the front of house and common areas, offering assistance to all building visitors and tenants. Deliver exceptional service and create a lasting impression, adopting a 'One Team' approach with service partners.
Responsibilities
- Ensure the highest standards of property presentation, keeping the reception area clean, tidy, and welcoming.
- Maintain a courteous, professional, and helpful demeanor at all times.
- Adhere to uniform and dress code guidelines if applicable.
- Carry out duties as instructed by management.
- Compile monthly service reports and attend meetings.
- Propose service innovations and improvements.
- Acknowledge and action helpdesk jobs, communicating with the Engineering department when necessary.
- Manage the visitor management system and provide content for the occupier platform.
- Participate in the training of cover staff.
- Establish professional relationships with team members, tenants, and contractors.
- Greet visitors and maintain an accurate visitor log.
- Act as a Lobby Host, welcoming visitors into the building.
- Obtain tenant authority before allowing visitors beyond reception.
- Assist and direct visitors to their required location or contact.
- Answer telephone and intercom queries professionally.
- Maintain an up-to-date reception operations manual.
- Ensure the reception desk is never left unmanned during opening hours.
- Handle on-site queries efficiently and professionally, directing them to third parties when appropriate.
- Sign for and document tenant deliveries, obtaining signatures upon ID verification.
- Acquire knowledge of property systems and procedures to manage during absences.
- Complete all required log reports.
- Manage communications and updates to occupiers.
- Comply with health and safety regulations, including fire precautions.
- Ensure contractors adhere to site health and safety requirements.
- Abide by all company rules, terms, and conditions.

- Strong customer service skills, providing helpful and polite service.
- Pleasant telephone manner and efficiency in relaying messages and taking instructions.
- Ability to handle confidential information.

- Willingness and ability to learn on the job and undertake training.
- Acutely aware of surroundings and occupiers to ensure timely service.
- Proficient in Microsoft applications including Word, Excel, PowerPoint, Access, and Outlook.
