About the Role
The Director of Facilities is the building operations and facilities leader responsible for the day-to-day operation, maintenance, safety, cleanliness, appearance, and functional readiness of the school building and campus. This role requires a deep understanding of facilities management, building operations, preventive maintenance, custodial management, safety and compliance, vendor coordination, budget management, and emergency response to support uninterrupted teaching and learning.
Responsibilities
- Oversee the daily operation, maintenance, safety, and appearance of all school facilities, classrooms, offices, common areas, athletic spaces, and campus areas.
- Monitor and maintain building systems, including HVAC, plumbing, electrical, lighting, roofing, fire suppression, mechanical systems, access systems, security hardware, and emergency lighting.
- Coordinate preventive maintenance schedules, routine inspections, work orders, repairs, and emergency maintenance responses.
- Supervise custodial, maintenance, and facilities personnel, including developing work schedules, conducting evaluations, coordinating daily assignments, and training staff on safety procedures.
- Develop and monitor daily, weekly, monthly, and annual cleaning schedules.
- Monitor inventory, order custodial supplies, cleaning materials, equipment, tools, furniture, maintenance equipment, and other facility-related assets.
- Ensure compliance with OSHA regulations, Fire Code, Health Department requirements, Building Code, environmental regulations, ADA accessibility requirements, and other applicable safety and facilities standards.
- Coordinate annual inspections, maintain documentation for compliance audits, support emergency preparedness planning, and coordinate facility-related emergency response procedures.
- Coordinate outside contractors, obtain quotes, review work for quality and completion, and schedule repairs or projects.
- Manage service contracts including HVAC, elevators, pest control, waste removal, landscaping, snow removal, security systems, and fire alarm systems.
- Develop annual maintenance plans, support capital improvement planning, recommend facility upgrades, monitor building life-cycle replacement schedules, and assist with summer renovation projects.
- Develop and monitor the annual facilities budget, approve supply purchases, track maintenance expenses, identify cost-saving opportunities, and prepare budget reports.
- Work collaboratively with school security personnel to support building access systems, door hardware, visitor management procedures, after-hours building access, and safe building operations.
- Coordinate facility setup and breakdown for school events, athletic competitions, parent meetings, professional development, community events, graduation ceremonies, and summer programming.
- Implement energy conservation initiatives, monitor utility usage, coordinate recycling efforts, and promote environmentally responsible facility practices.
- Foster a culture of accountability, customer service, responsiveness, safety, and continuous improvement within the facilities and custodial functions.
- Perform other related duties as assigned, including emergency maintenance response, safety inspections, daily building readiness, custodial coordination, vendor visits, and support for uninterrupted instruction.
- Perform activities that may occur after/off the school day, such as supporting school events, athletic competitions, parent meetings, professional development, community events, graduation ceremonies, summer programming, and urgent facilities issues outside normal working hours.
Requirements
- Bachelor's degree or equivalent experience in Facilities Management, Construction Management, Engineering, Building Operations, or a related field.
- Minimum 5 years of facilities management experience.
- Minimum 2 years of supervisory experience.
- Knowledge of building systems, preventive maintenance planning, facilities operations, emergency response coordination, school safety procedures, and building systems troubleshooting.
- Strong organizational, communication, problem-solving, time management, vendor negotiation, budget management, and customer service skills.
- Ability to manage multiple priorities, work independently, supervise maintenance and custodial personnel, and respond to facility emergencies outside normal working hours when necessary.
- Proficiency with Microsoft Office and work order management systems.
- Ability to lift up to 50 pounds, walk throughout multiple floors daily, climb ladders, and work indoors and outdoors in varying weather conditions.
- A demonstrated commitment to maintaining a clean, safe, welcoming, code-compliant, and instruction-ready school environment.
