About the Role

The Auto Collision Parts Coordinator is responsible for sourcing, ordering, receiving, and tracking all automotive parts and materials required for vehicle repairs. This role works closely with estimators and body technicians to ensure the exact parts are available right when they are needed, minimizing delays in repair cycle times.

Responsibilities

  • Ordering and Sourcing: Review approved repair estimates to accurately order OEM, aftermarket, and recycled (salvage) parts.
  • Utilize estimating software (e.g., CCC ONE), Profit Net Management System, and parts procurement platforms (e.g., PartsTrader, OEC, OPSTrax) to secure the best pricing and availability.
  • Receiving and Staging: Receive daily parts deliveries from vendors and thoroughly inspect all sheet metal, glass, and plastic components for shipping damage.
  • Perform "mirror matching"—comparing newly delivered parts to the original damaged components to guarantee an exact fit before the vehicle enters the physical repair phase.
  • Label, sort, and organize received parts onto designated job carts for the technicians.
  • Promptly alert estimators or the production manager of any backordered parts, discontinued items, or shipping delays.
  • Supplements and Returns: Collaborate with blueprinters during the vehicle teardown phase to quickly identify and order "supplemental" parts for hidden damage.
  • Process vendor returns for incorrect, defective, or unused parts immediately.
  • Track pending vendor credits and core returns, reconciling them with the accounting department to ensure the shop is properly refunded.
  • Administrative and Facility Duties: Scan and post parts invoices to the correct repair orders (ROs) in the shop management system accurately.
  • Maintain a clean, safe, and highly organized parts room, receiving bay, and staging area.

Requirements

  • Must be at least 18 years of age to be considered.
  • Must have held a valid driver's license for at least 1 year.
  • Ability to stand and walk for extended periods during the shift.
  • Physical capability to safely lift, carry, and move heavy or bulky auto parts (up to 50 lbs), such as bumper covers, hoods, and doors.
  • Frequent bending, kneeling, and reaching to stock and pull inventory.

Skills

  • Strong understanding of automotive terminology, vehicle structures, and collision repair processes.
  • Experience with collision estimating software, parts procurement platforms, and basic computer literacy.
  • Exceptional organizational and time-management skills.
  • A proactive problem-solver who thrives in a fast-paced environment.
  • Pays strict attention to detail.
