About the Role

The Broker Channel Administrative Assistant provides centralized administrative support to the Broker Sales team, managing administrative tasks and coordination across teams to ensure efficient daily operations. This position enables BDMs to focus on broker relationship management by handling high-volume administrative and coordination activities.

Responsibilities

  • Create and distribute rate sheets on behalf of the BDM.
  • Follow established third-party risk management, broker onboarding, KYB, documentation, and ongoing monitoring processes.
  • Document onboarding and review evidence to support audit readiness, management oversight, and regulatory expectations.
  • Escalate exceptions, incomplete documentation, expired licensing or E&O coverage, negative media, regulatory concerns, fraud indicators, or overdue reviews.
  • Maintain accurate administrative records in CRM / internal systems.
  • Support documentation accuracy, evidence retention, compliance requirements, and audit readiness for broker agreements, onboarding files, annual reviews, exception tracking, and offboarding records.
  • Maintain tracking and reporting for onboarding status, annual review completion, expired or missing requirements, open exceptions, escalation status, and unresolved risk items.
  • Support periodic reviews of broker files and active broker lists to confirm records remain current, complete, and aligned to internal policy and OSFI B-10 third-party risk management expectations.
  • Identify administrative inefficiencies and raise improvement opportunities.
  • Assist with system updates or process changes as needed.
  • Respond to administrative inquiries from brokers related to documentation, onboarding status, ongoing review requirements, or established process expectations.
  • Maintain and update broker information records.
  • Support coordination of communications between brokers and internal teams.
  • Ensuring accurate information is in broker website, updating as needed.
  • Coordinating sales team’s SharePoint site, ensuring up to date materials, shared learnings, and team notes are accessible to the sales team.
  • Support audit requests and data gathering.
  • Perform general administrative tasks as assigned.

Requirements

  • Strong attention to detail and accuracy in high-volume environments.
  • Excellent organizational and time management skills.
  • Ability to manage competing priorities across multiple stakeholders.
  • Strong coordination and communication skills.
  • Proficiency in Microsoft Office and CRM / workflow systems.
  • Ability to follow structured processes and ensure compliance.
  • Knowledge of mortgage broker industry and practices.
  • Comfort learning and adopting new digital tools, with an openness to using AI‑enabled technology to enhance productivity, accuracy, and the Member experience.
  • Embedding & leveraging technology – Confidence and willingness to learn and integrate AI and emerging technologies into new ways of working.
  • Critical Thinking – The ability to analyze, evaluate and interpret information from various sources and apply logic and problem solving to make decisions.
  • Data Driven– Leverage data and insights to identify, prioritize and improve member experience and business efficiency.

Salary/Compensations

  • $46,400.00 to $69,600.00 CAD
