About the Role

The Front Desk Coordinator serves as the initial point of contact for patients at a multisite pain management company. This role requires a customer-service-driven professional who can maintain a welcoming environment and handle patient interactions with composure and empathy.

Responsibilities

  • Check patients in and provide necessary paperwork
  • Collect co-pays and outstanding balances
  • Set up recurring credit card payments and payment plans
  • Prepare daily schedules and verify balance accuracy
  • Document payments and non-payments for management review
  • Verify and update patient demographics in the EHR/EMR
  • Obtain signatures for Opioid contracts and LOP Liens
  • Scan documentation into appropriate systems
  • Confirm appointments and send referral letters
  • Retrieve procedure cost estimates from S-FAX
  • Manage incoming calls, voicemails, EMR messages, and emails
  • Maintain HIPAA compliance in patient charts
  • Ensure reception and waiting areas remain tidy
  • Maintain patient confidentiality
  • Travel as needed

Requirements

  • High school diploma or equivalent
  • Experience working in a busy clinic handling high volumes of calls and visits
  • Strong knowledge of medical and health insurance terminology
  • 1 year of experience scheduling and coordinating medical appointments
  • Proficiency in MS Word, Excel, PowerPoint, and Outlook
  • Organized and detail-oriented
  • Punctual and reliable
  • Ability to multitask in a fast-paced environment
  • Excellent written and verbal communication skills
