About the Role
The Front Desk Coordinator serves as the initial point of contact for patients at a multisite pain management company. This role requires a customer-service-driven professional who can maintain a welcoming environment and handle patient interactions with composure and empathy.
Responsibilities
- Check patients in and provide necessary paperwork
- Collect co-pays and outstanding balances
- Set up recurring credit card payments and payment plans
- Prepare daily schedules and verify balance accuracy
- Document payments and non-payments for management review
- Verify and update patient demographics in the EHR/EMR
- Obtain signatures for Opioid contracts and LOP Liens
- Scan documentation into appropriate systems
- Confirm appointments and send referral letters
- Retrieve procedure cost estimates from S-FAX
- Manage incoming calls, voicemails, EMR messages, and emails
- Maintain HIPAA compliance in patient charts
- Ensure reception and waiting areas remain tidy
- Maintain patient confidentiality
- Travel as needed
Requirements
- High school diploma or equivalent
- Experience working in a busy clinic handling high volumes of calls and visits
- Strong knowledge of medical and health insurance terminology
- 1 year of experience scheduling and coordinating medical appointments
- Proficiency in MS Word, Excel, PowerPoint, and Outlook
- Organized and detail-oriented
- Punctual and reliable
- Ability to multitask in a fast-paced environment
- Excellent written and verbal communication skills
