About the Role

Impact Ops is seeking a US Operations Specialist to manage the full lifecycle of US operational support for clients, including entity formation, compliance, and ongoing HR, payroll, and compliance administration. This role supports organizations in AI safety, effective altruism, and global health.

Responsibilities

  • Manage US entity setup projects end-to-end, including incorporation, EIN registration, IRS Form 1023 filings, 501(c)(3) determination, registered agent management, and state registrations.
  • Collaborate with the finance team to prepare new entities operationally, covering banking, spend management, accounting platform setup, and payroll/EOR onboarding.
  • Provide ongoing HR administration for US entities, including employee onboarding/offboarding, employment policy work, and benefits administration.
  • Administer payroll and EOR platforms, managing payroll cycles and EOR transfers.
  • Maintain state-level compliance across multiple jurisdictions, including registrations and annual filings.
  • Coordinate with external providers such as registered agents, attorneys, and accountants.
  • Support clients through fiscal sponsorship transitions and entity spin-outs.
  • Develop repeatable playbooks, checklists, and systems to scale entity setup and US HR administration.

Requirements

  • 3+ years of experience in US nonprofit operations, HR administration, or multi-entity back-office support.
  • Knowledge of US nonprofit compliance, including incorporation, 501(c)(3) status, state registrations, and annual filings.
  • Hands-on experience with payroll and/or EOR platforms (e.g., Deel, Justworks, Gusto, Rippling).
  • Exceptional organization and follow-through skills to manage multiple deadline-driven workstreams.
  • Clear, professional written communication suitable for client-facing work.
  • Comfort working independently in a remote, high-trust environment.
  • Experience taking a new US entity from formation to fully operational.
  • Familiarity with tools such as Mercury, Ramp, and Xero.
  • Experience working with fiscal sponsors or supporting spin-outs from fiscal sponsorship.
  • Familiarity with US employment law basics across multiple states.
  • Enthusiasm for adopting AI tools to improve operational efficiency.
  • Interest in the AI safety, effective altruism, or high-impact nonprofit ecosystem.
  • Experience in nonprofit, social impact, or mission-driven organizations is a plus.
