About the Role
As the Executive Assistant to the CEO of Libra, you will be the central organizational interface. Your strong organizational skills and proactive approach will ensure efficient administrative and organizational processes. You will also support the Leadership Team in selected joint activities and contribute to successful collaboration within the organization.
Responsibilities
- Support the CEO in daily operations, as well as in organizational and administrative matters.
- Coordinate and manage the CEO's calendar, including independent appointment and meeting management.
- Plan, organize, and manage meetings, events, visitor appointments, and leadership/all-hands meetings (virtual and on-site).
- Coordinate and track important deadlines, appointments, and regular activities of the Leadership Team.
- Manage and maintain documentation, correspondence, filing, and archiving systems.
- Procure, prepare, and provide relevant information for the CEO.
- Manage internal communication channels and administer access rights and distribution lists.
- Organize national and international business travel, including bookings and travel coordination.
- Plan and execute offsites, executive events, and team events, including logistics, catering, and on-site coordination.
- Act as the point of contact for office and facility management issues (e.g., office supplies, cleaning, access management).
- Support the onboarding of new employees, including equipment and access organization.
- Create reports, presentations, and management documents for the CEO.
- Process and track invoices and travel expense reports in compliance with internal policies and procedures.
Requirements
- Successfully completed university degree or commercial apprenticeship, ideally with a focus on Office Management or a comparable qualification.
- Several years of professional experience (at least 5 years) in a similar assistant or office management role, preferably in an international environment.
- Proficient in common Microsoft Office applications.
- Strong organizational skills and the ability to coordinate multiple tasks simultaneously, maintaining an overview even during busy periods.
- Confident communication skills and a professional demeanor when dealing with various stakeholders and executives.
- Very good written and spoken German and English skills (at least B2 level).
- Residency in the Berlin area and willingness for regular presence in the Berlin office.
