About the Role

The Network Capacity Project Coordinator will support the Network Capacity Team’s capacity building initiatives through administrative support, including administering community grants, providing event support, drafting communications, building surveys, conducting research, and reporting on network needs. This role will oversee day-to-day operations of departmental projects, ensuring timely and high-quality completion.

Responsibilities

  • Support day-to-day operations and departmental projects.
  • Track progress, flag issues, and help keep work on schedule.
  • Coordinate with internal teams to support shared goals.
  • Assist with scheduling, communications, and administrative tasks.
  • Help prepare reports, presentations, and basic financial tracking.
  • Help ensure systems and information are up to date and organized.
  • Support the coordination and management of programs and grant initiatives.
  • Serve as a point of contact for partners and provide basic support.
  • Help track applications, documents, and program outcomes.
  • Assist with reporting and program documentation.
  • Support product allocation and distribution across partner organizations.
  • Maintain accurate partner and customer data to inform allocation decisions.
  • Help ensure resources are distributed effectively and on time.
  • Track and manage records related to allocation and distribution activities.
  • Support planning and execution of events, trainings, and partner convenings.
  • Coordinate logistics, communications, and follow-up activities.
  • Track participation and collect feedback.
  • Build and maintain relationships with partner organizations.
  • Support site visits, resource distribution, and follow-up actions.
  • Assist with capacity-building efforts and partner resources.

Requirements

  • 1+ years of work experience.
  • Bilingual; preference will be given to those who speak Spanish.
  • Comfortable traveling via car or public transportation throughout the five boroughs of NYC.
  • Comfortable regularly speaking on the phone and conducting regular phone outreach to partners.
  • Ability to work occasional evenings, Saturdays and Sundays as needed.

Skills

  • Proficiency in project management software (e.g., Asana, Trello, Monday.com, Microsoft Planner).
  • Proficiency in MS Office, especially SharePoint and Dynamics CRM.
  • Understanding of updating and issuing contracts and financial investments via DocuSign and PaperSave.
  • Experience in project coordination, administrative support, or similar roles.
  • Strong organizational, time management, and multitasking skills.
  • Ability to manage multiple priorities and shifting timelines.
  • Excellent written and verbal communication skills.
  • Ability to draft clear, effective communications for diverse audiences.
  • Strong interpersonal skills.
  • Experience working collaboratively across teams and with external stakeholders.
  • Detail-oriented.
  • Solid problem-solving and decision-making abilities.
  • Familiarity with grantmaking and/or experience working with nonprofits, social impact, or community-based organizations is a plus.
