About the Role

We are seeking an Executive Assistant to support Raj, ensuring his operational efficiency and acting as a force multiplier for the company. This role is critical in helping us achieve our mission of making every NHS appointment bookable and hitting our goal of 50,000 Weekly Appointments Booked by September 2026. You will manage Raj's calendar, inbox, meeting logistics, task management, and quality control, ensuring his time is aligned with company priorities and that commitments are delivered flawlessly. This is an opportunity to be the right-hand person to a key leader in a fast-growing health tech startup with a mission to improve healthcare access.

Responsibilities

  • Ensure Raj's time reflects company priorities.
  • Make Raj a decision-making engine.
  • Manage Raj's calendar to align with priorities and optimize effectiveness.
  • Triage Raj's inbox, responding appropriately, flagging urgent items, and eliminating noise.
  • Handle meeting logistics, including scheduling, materials preparation, attendee briefing, and room setup.
  • Track tasks to completion, chase commitments, and flag blockers.
  • Perform quality control, proofreading all materials and checking links.
  • Execute administrative tasks such as expenses, travel, and documentation.
  • Protect Raj's personal time for exercise, meditation, and family, acting as a contact for his family.
  • Ensure Raj's calendar matches company priorities and that he feels his time is spent on the right things.
  • Ensure actions are tracked and commitments are delivered.
  • Ensure meetings happen smoothly with the right people, preparation, actions, owners, and deadlines.
  • Ensure Raj never chases for updates.
  • Eliminate typos, broken links, or incomplete work.
  • Delegate tasks once and forget them, trusting they are done.
  • Ensure meeting quality is consistent and prep happens without Raj's direct involvement.
  • Optimize Raj's calendar based on results.
  • Build templates and systems for recurring work.
  • Complement Raj's mindset and abilities, catching details he misses, and helping him prioritize ideas.
  • Create an environment where Raj can work optimally, managing chaos to create structure and clarity for the team.
  • Be two steps ahead, ensuring smooth execution rather than firefighting.
  • Manage expenses, travel, and documentation.
  • Manage personal tasks for Raj, such as dentist appointments.
  • Protect Raj's daily fuel (exercise, meditation, family) and act as his family's contact.

Requirements

  • 2-4 years as a top-tier EA.
  • Mission-driven with a deep care for the NHS.
  • High-energy and excited to get the job done.
  • Obsessive about quality; errors do not happen on your watch.
  • Exceptional prioritization skills, distinguishing urgent from important.
  • Proactive communicator, updating before being asked.
  • Calm under pressure, thriving in chaotic environments and juggling multiple tasks.
  • Trustworthy judgment to make the right calls when Raj is unavailable.
  • Comfortable with pressure and prepared to work 60+ hours a week.
