About the Role

The Assistant Manager is responsible for coordinating and delivering leasing and reservations activities. This role assists the General Manager in the day-to-day management of the portfolio to achieve budgeted revenue, occupancy priorities, resident retention, and leasing goals.

Responsibilities

  • Acts as a role model by demonstrating core values.
  • Manages viewing activities, ensuring properties meet company standards, conducting follow-up calls, and gathering feedback.
  • Participates in the leasing process, including generating and monitoring traffic, qualifying prospects, preparing tenancy documentation, and completing move-in/move-out and notice to vacate procedures.
  • Utilizes company property systems to generate sales and leasing reports, monitor unit availability, log maintenance requests, and record incidents.
  • Proactively engages with residents to improve service delivery.
  • Promotes resident satisfaction and retention by responding promptly to inquiries and resolving service issues.
  • Oversees on-site inquiries, manages apartment inventory, recommends rent pricing and concessions, and monitors sales and leasing activities.
  • Ensures effective implementation of advertising and promotional activities.
  • Develops and maintains local knowledge relevant to resident needs.
  • Stays informed about market and competitor conditions.
  • Manages the tenancy process, including apartment inspections, evictions, and collection of late fees and charges.
  • Monitors lease expiration dates to control vacancy exposure.
  • Monitors payments and pursues outstanding rent arrears to meet business goals.
  • Collaborates with the maintenance team to ensure community appearance meets company standards.
  • Inspects show flats and coordinates tours for prospective residents.
  • Works with the General Manager to motivate the team and achieve leasing and occupancy targets.
  • Assists the General Manager in developing team member capabilities and coordinating training.
  • Ensures the on-site team understands UK tenancy legislation, Health and Safety compliance, and company policies.
  • Promotes investor satisfaction and retention through timely reporting and prompt response to owner concerns.
  • Reviews and analyzes financial and operational reports to identify and resolve leasing performance issues.
  • Identifies and implements opportunities for revenue generation and utility efficiency.
  • Covers General Manager responsibilities in their absence.
  • Participates in an on-call roster for out-of-hours emergency support.
  • Ensures community operations comply with company policies, laws, and regulations.
  • Manages resident engagement and reputation scores.
  • Oversees debt management for accurate income recording.
  • Supervises and motivates the team to create a fun and productive environment.
  • Demonstrates a good understanding of the leasing process and willingness to learn the Property Management system.

Requirements

  • Good level of general education.
  • Proficiency in Microsoft Office packages (Word, Excel, Outlook).
  • Proficiency in using property operations software (training will be provided).
  • Financial understanding of accounts and budgeting (further development will be provided).
  • Experience of successfully driving leasing/sales performance and managing operations, including P&L responsibility and budget monitoring, within the property sector or similar environment.
  • Detailed knowledge of Landlord/Tenant Legislation.
  • Strong team player capable of working autonomously and taking ownership.
  • Flexible approach to working in a fast-paced and changing environment.
  • Self and culturally aware with adaptable relationship building, communication, and negotiation skills.
  • Fluent English verbal and written communication skills.
  • Excellent organization skills with the ability to multitask and prioritize.
  • Numerical skills necessary to complete activities.
  • Enthusiasm to deliver exceptional experiences and continuously improve knowledge.
  • Knowledge and understanding of UK Health and Safety policies.
  • Demonstrable ability to coach and mentor team members (desirable).
  • Experience of motivating a team and a proven track record in delivering service excellence in a similar management role/environment (desirable).
  • Knowledge and understanding of Fire legislation (desirable).
  • Understanding of the Debt collection process (desirable).
