About the Role

The Cross-Studio, Studio Assistant ensures the smooth day-to-day running of studios, creating a welcoming environment for employees and visitors. This role is ideal for someone who enjoys variety, thrives in a creative workplace, and takes pride in delivering exceptional support and thoughtful details that enhance the workplace experience. This is an in-person role, primarily based on Vyner Street 3 days a week, with the remaining 2 days a week floating between other London-based studios. While this role would suit someone early in their career, we are also open to candidates later in their careers looking to join a creative environment or a new challenge.

Responsibilities

  • Greet visitors at reception and offer refreshments.
  • Field incoming calls and take messages.
  • Handle incoming post and deliveries and arrange outgoing post.
  • Keep the studio/s tidy and organised.
  • Oversee meeting rooms: check and tidy spaces, and adjust bookings.
  • Order refreshments and catering for meetings and workshops.
  • Manage grocery orders and restock studio supplies.
  • Maintain the coffee machine and ensure fresh fruit is available daily.
  • Perform weekly walk rounds of studios and report/action outstanding problems.
  • Assist with additional tasks delegated by the Studio and Management team.
  • Assist with studios opening & closure procedures.
  • Manage taxis and courier bookings.
  • Keep shared documents up to date.
  • Report maintenance issues and assist with coordinating tradespeople.
  • Assist in maintaining studio budget trackers.
  • Assist the Studio team with studio-wide events.
  • Create a welcoming and engaging experience for employees and visitors.
  • Assist in onboarding new employees, including setting up studio access and giving studio tours.

Requirements

  • Experience in a full or part time customer service or public facing role.
  • Clear enthusiasm for working within a design company and with creative practitioners.
  • Experience adapting to changing plans and environments.
  • Ability to thrive in a dynamic, people-facing role.
  • Skilled planner and organiser with excellent time management skills.
  • Friendly, polite, and professional in all interactions.
  • Interest in working in a varied and changing environment.
  • Ability to bring a proactive approach to problem-solving and improving daily studio operations.
  • Experience problem solving autonomously (Desirable).
  • Experience building relationships in an organisation with 150+ employees (Desirable).
  • Experience planning high quality social events (Desirable).
  • Pre-existing first aid and/or fire warden trained (Desirable).
  • Experience greeting and hosting VIPs (Desirable).
