About the Role
This role supports the Operations Team in organizing conferences, awards, and exhibitions, offering a great opportunity for an ambitious individual to develop skills within the exhibitions industry and advance their career.
Responsibilities
- Ensure professional and first-class customer communications with exhibitors, sponsors, and contractors.
- Provide pre-show and on-site exhibitor liaison and support via phone and email.
- Act as the first point of contact for exhibitors, offering support via phone and email.
- Create and deliver an effective communications plan for exhibitors in collaboration with Operations and Marketing teams.
- Manage scheduled communications regarding logistical details at key stages of the event process.
- Manage the onsite Organiser’s Office, ensuring timely printing and distribution of materials.
- Manage exhibitor and contractor databases.
- Process and confirm exhibitor information, monitoring responses to ensure timely receipt of necessary details.
- Assist in the production of the exhibitor manual, including content review and research.
- Update and maintain show floor plans.
- Assist with Exhibitor Days and Exhibitor Online Drop-In sessions.
- File all relevant documentation on the shared drive.
- Support with Purchase Order creation.
- Attend relevant training, including health and safety.
- Adhere to Ops processes as best practice and support process development.
- Manage Salesforce and Operational processes, including creating and updating event Ops CPAs.
- Create, update, and monitor stand and event inventory.
- Communicate proficiently with external/international contractors, sponsors, exhibitors, and venues.
- Interact effectively with fellow team members and other office departments.
- Assist with travel and accommodation requirements.
- Conduct venue research and provide support for evening functions.
- Research and present potential sponsorship items.
- Coordinate on-site freight requirements.
- Perform general administrative tasks and adhoc projects.
- Comply with the company’s Health & Safety Policy.
Requirements
- Excellent written English and verbal communication skills.
- Ability to work under pressure and meet deadlines.
- Flexibility to travel internationally (Asia, Africa, Europe, North America) and work out of hours relating to events.
- Ability to work calmly under pressure in a busy, fast-paced, and agile environment.
- Good team player, able to work well in a team.
- Organized and methodical with high attention to detail.
- Ability to multitask and work on different events/projects simultaneously.
- Good problem-solving skills.
