About the Role

The Estates and Facilities Officer manages Regent College London’s estate to ensure all sites are safe, secure, compliant, and well-maintained. This role oversees day-to-day facilities operations, health and safety, compliance, and planned maintenance while supporting strategic growth and sustainability initiatives.

Responsibilities

  • Oversee maintenance, repair, and general upkeep of all college campuses.
  • Manage service contracts, suppliers, and contractors to ensure quality and value.
  • Monitor space utilisation and coordinate refurbishments or office moves.
  • Develop and manage estates budgets in collaboration with Finance.
  • Ensure compliance with statutory requirements including asbestos, legionella, gas, and electrical safety.
  • Liaise with landlords, local authorities, and health and safety consultants.
  • Lead or support capital works and infrastructure improvement projects.
  • Foster a culture of safety awareness and continuous improvement.
  • Manage small-scale refurbishment projects and assist with larger capital projects.
  • Perform general repairs and maintenance of premises and grounds.
  • Handle porterage of goods, furniture, and equipment using safe manual handling practices.
  • Participate in professional development and training as required.
  • Support fire evacuation procedures and serve as a Fire Marshall.
  • Act as a designated first aider.
  • Contribute to college risk management and promote equality, diversity, and safeguarding strategies.
  • Manage maintenance work packages, including planning, servicing, and financial approval of invoices.
  • Monitor and resolve facilities tickets via the online service desk.
  • Manage maintenance and safety compliance for company-owned private properties.

Requirements

  • Proven experience in estates or facilities management across multi-site operations.
  • Experience managing contracts, suppliers, and budgets.
  • Excellent organisational, planning, and problem-solving skills.
  • Ability to work independently and collaboratively with stakeholders.
  • Strong IT skills, including facilities management software and Microsoft Office Suite.
  • Flexible, proactive approach with the ability to travel between campuses.
  • Successful completion of pre-employment checks, including criminal records check and right to work verification.
