About the Role
Territory Studio is seeking an experienced and proactive Studio Coordinator to manage daily office operations, plan events, and handle freelance talent scheduling and onboarding. This central role requires flexibility, organization, self-motivation, and initiative in a dynamic environment.
Responsibilities
- Manage everyday office operations, including organization, ordering supplies, restocking kitchen and snacks, and scheduling cleaning services.
- Liaise with the UK-based accounting team for statement reconciliation, invoice processing, and expense reports.
- Coordinate resource scheduling, talent outreach, and manage freelance talent onboarding/offboarding, including legal documents and contact database.
- Organize internal and external events with HR and Head of Production, such as annual parties, Show & Tells, and team building activities.
- Track monthly expenditures for studio operations and staff entertainment.
- Open and close the studio on Tuesdays, Wednesdays, and Thursdays.
- Manage the studio calendar.
- Liaise with building management for studio improvements, repairs, and maintenance.
- Greet clients and guests, prepare conference areas for meetings, and ensure virtual calls are set up.
- Support creative, production, new business, finance, and IT teams.
- Collaborate with Production, IT, and HR on onboarding new employees and freelancers.
- Book travel arrangements as needed.
- Manage ordering and shipping of staff and client holiday gifts.
- Ensure weekly freelance and staff timecards are completed.
- Stay updated on community-building opportunities and relevant local events.
- Perform other studio-related projects as needed.
Requirements
- 2-3 years of office administration experience, preferably in an agency or creative studio.
- Ability to be on-site in the Hayes Valley, San Francisco office on Tuesdays, Wednesdays, and Thursdays.
- Experience with basic accounting support.
- Must have the right to live and work in the US.
