About the Role
The HR Services Coordinator is part of the Global HR Service Delivery Operations team, playing a key role in delivering high-quality HR services, ensuring service continuity, process consistency, and ongoing optimization across Japan. This role acts as the primary process coordination point for HR Services delivery in Japan, ensuring effective alignment and collaboration across local, regional, and global teams.
Responsibilities
- Respond to HR-related inquiries from employees, ensuring accurate, timely, and high-quality resolution.
- Execute procedures related to the employee lifecycle, including hiring, termination, leave of absence (LOA), and return from leave.
- Manage document handling between employees, managers, and external stakeholders.
- Maintain accurate employee data in Workday and internal HR records and ledgers.
- Provide operational support for non-statutory employee benefit programs, including company housing, employee savings plans, group insurance, relocation, and various allowances.
- Manage administrative processes related to corporate pensions (DB/DC) and health insurance programs.
- Coordinate with external vendors and authorities, ensuring compliance and accurate data handling.
- Prepare and issue employment-related certificates and official documentation.
- Prepare and distribute regular HR reports (monthly, mid-month, ad hoc) based on Workday data.
- Ensure data accuracy and provide insights to stakeholders across HR, Finance, and other functions.
- Act as the key coordination point for HR Services processes in Japan, supporting and guiding other team members involved in service delivery.
- Ensure effective coordination of activities across local, regional, and global teams, enabling seamless and consistent service delivery.
- Maintain visibility of end-to-end processes, proactively identifying gaps, bottlenecks, and inefficiencies.
- Support prioritization and alignment of work across stakeholders to ensure continuity, workload balance, and service quality.
- Proactively identify opportunities to simplify, standardize, and improve HR processes and ways of working.
- Challenge the status quo by reviewing current practices and recommending more efficient and scalable solutions.
- Collaborate with regional and global teams to align on best practices and drive process consistency and harmonization.
- Support the implementation of process improvements, including updates to tools, documentation, and workflows.
- Support knowledge sharing, documentation, and cross-training to ensure business continuity.
- Identify potential service risks (capacity gaps, process dependencies, operational challenges) and propose mitigation actions.
- Contribute to maintaining stable operations during periods of transition, change, or increased workload.
Requirements
