About the Role
The Patient Care Coordinator holds a pivotal role in managing both patient care and administrative tasks. Their primary objective is to ensure that patients receive exemplary support and assistance throughout their healthcare journey.
Responsibilities
- Maintain patient accounts by obtaining, recording, and updating patient demographics and insurance information in the EHR system.
- Schedule appointments and address patient inquiries via various channels.
- Register and check-in patients in a timely manner through virtual check-in systems or in-person.
- Prepare necessary documents for the visit and ensure authorization coverage and payment for each visit.
- Maintain accurate financial records by updating patient financial information, recording, and collecting patient charges, and providing receipts for payments.
- Manage insurance claims and maintain accuracy of patient records in the Electronic Health Record (EHR) system.
- Provide support for patients encountering telehealth or technological challenges.
- Monitor online referral platforms and respond to incoming faxes promptly.
- Notify providers of patients' late arrival; reschedule and/or make other accommodations when necessary.
- Address patient needs, including prescription refills, prior authorizations, and medical record transfers.
- Comfort patients by anticipating their anxieties, answering questions, and maintaining a clean and presentable front office and reception area.
- Help patients in distress by responding to emergencies.
- Encourage patient compliance with preventive care by reaching out to patients and reminding them when they are due for follow ups, re-evaluations, etc.
- Perform other duties as assigned.
Requirements
- High school diploma or equivalent.
- Completion of a Healthcare Administration certificate program preferred.
- 3+ years of experience working as a medical receptionist/administrative assistant in the healthcare field.
- Proficiency in Word, Excel, and Google Suite.
- Proficiency in Electronic Health Records (EHR) software.
- Excellent organizational and time management skills.
- Strong interpersonal communication skills.
- Strong attention to detail and organizational skills.
- Punctuality and efficiency paired with empathy and interpersonal skills.
Experience Level

Education Level
- High school diploma or equivalent
- Healthcare Administration certificate program preferred
