About the Role
The Executive Assistant provides high-level administrative support to department professionals, board members, division heads, officers, or managers. This role requires professionalism, confidentiality, and the ability to manage demanding, varied tasks while representing the firm positively.
Responsibilities
- Act as an extension of the leader in professional interactions with colleagues and clients
- Maintain communications via email, phone, and written correspondence during leader travel
- Provide assistance to other team members as needed
- Mentor and train less-experienced staff
- Prepare reports, meeting minutes, and correspondence
- Create and edit documents, spreadsheets, and presentations
- Manage schedules, appointments, and travel itineraries
- Ensure meetings start on time with necessary prep materials
- Coordinate conference calls and complete expense reports
- Answer telephones and manage messages
- Organize and prioritize tasks under strict time constraints
- Manage daily correspondence and filing
- Route client documentation to ensure timely delivery
- Perform office administrative tasks as directed
- Safeguard confidential and sensitive company and personal information
- Identify and improve internal processes and firm policies
- Review and edit client-related documentation
- Maintain client and administrative filing procedures
- Remain knowledgeable of business unit and corporate policies
- Assist with special projects as needed
Requirements
- High school diploma
- 5+ years of experience as an assistant to the practice management tier of a firm
- Strong grammatical and proofreading skills
- Experience handling sensitive, complex, and confidential contacts
- Valid driver's license
- Must have work authorization in the US without requiring visa sponsorship
