About the Role
Corpay is seeking a Workplace & Commercial Operations Coordinator to ensure the smooth operation of the New York City office and provide support for key commercial initiatives. This role combines front-of-house duties, office management, and project execution support, reporting to the Chief of Staff, North America.
Responsibilities
- Serve as the primary point of contact for visitors, guests, and vendors, ensuring a professional and seamless experience.
- Manage visitor sign-in, badging, and workspace coordination.
- Maintain a polished reception area and ensure meeting rooms are guest-ready.
- Coordinate and execute office events, team gatherings, and on-site experiences.
- Support client and visitor hosting aligned with Corpay standards.
- Act as liaison with building management and manage vendor relationships.
- Manage building services, maintenance requests, and access credentials.
- Conduct regular office walkthroughs to ensure cleanliness and functionality.
- Maintain inventory and order office and pantry supplies.
- Ensure kitchen and common areas remain organized and well maintained.
- Coordinate IT equipment and workspace setups for new hires and visitors.
- Support onboarding and offboarding logistics.
- Support execution of commercial initiatives led by the Chief of Staff.
- Maintain project trackers, timelines, and status updates.
- Follow up with stakeholders on deliverables and deadlines.
- Assist in organizing project plans and coordinating cross-functional efforts.
- Support development of workflows and tracking tools.
- Document and organize processes for commercial initiatives.
- Identify opportunities to improve efficiency and streamline coordination.
- Provide structured support for ongoing initiatives and processes.
Requirements
- 2+ years of experience in office management, workplace operations, or administrative/project coordination roles preferred.
- Strong organizational skills with exceptional attention to detail.
- Excellent interpersonal and communication skills with strong professional presence.
- Solution-oriented mindset with strong ownership and accountability.
- Ability to manage multiple priorities in a fast-paced environment.
- Highly adaptable with the ability to balance office operations and project support.
- Experience working cross-functionally with internal teams and external vendors.
- Strong follow-through and stakeholder management skills.
- Highly tech-savvy with ability to learn new tools and systems quickly.
- Proficiency in Microsoft Office.
- Comfortable leveraging AI tools to improve efficiency and output quality.
- Demonstrated ability to streamline or automate processes.
- Experience with project tracking tools or coordination preferred.
