Responsibilities

  • Support the EHS&S Manager in maintaining and operating an effective occupational health and safety management system in compliance with relevant standards and regulations.
  • Promote and foster an EHS&S culture and support employee awareness activities.
  • Ensure a safe workplace with adequate hygiene standards in Medtronic offices and sites.
  • Drive efficiency and improvements in daily work processes and data management.
  • Operate and implement a comprehensive EHS&S management system compliant with legal requirements, focusing on risk management, injury prevention, and workplace injury management.
  • Provide comprehensive administrative and managerial support to the EHS&S Manager, including data entry, document creation, and schedule coordination.
  • Monitor and manage EHS&S performance indicators and data.
  • Perform routine daily tasks and medium-level projects and tasks autonomously under general supervision.
  • Assist in disseminating high-quality, consistent, and practical EHS&S information and advice internally.
  • Facilitate smooth communication and coordination with relevant stakeholders (sites and departments) for early risk identification and timely management.
  • Accurately manage vaccination status data and promote the smooth operation and implementation of the vaccination program.
  • Assist in preparing and delivering announcements (internal notices/guidelines) to activate employee awareness and communication.
  • Manage radiation exposure data and dosimeter distribution/return status to promote the operation of the personal radiation dosimetry program.
  • Provide necessary applications and administrative support to meet legal and corporate standards for radiation safety.
  • Support the operation and management of the company's radiation safety program, including vendor control.
  • Support the maintenance and strengthening of the risk management system under the direction of the EHS&S Manager.
  • Coordinate schedules, manage records, and follow up on workplace inspection programs (Gemba Walk, etc.).
  • Assist managers with incident (accident/near-miss) investigations, including data collection and documentation, to ensure accurate record collection, hazard identification, and risk minimization.
  • Manage the status of incidents reported in the Medtronic Incident Reporting system and support follow-up.
  • Ensure all accident/incident reports are processed promptly according to documented procedures.
  • Assist in the introduction and arrangement of ergonomic products to improve employee health and safety.
  • Act as the secretariat for the monthly Health & Safety (H&S) committee meetings, proactively managing scheduling, agenda creation, minute-taking, and related administrative operations.
  • Assist in planning and executing annual safety promotions and internal events to raise awareness of EHS&S programs and initiatives.
  • Maintain the EHS&S intranet (internal portal site), ensuring all public documents and guidelines are kept up-to-date.
  • Manage data related to greenhouse gas reduction in accordance with the Decarbonization Roadmap for achieving net zero, and serve as a liaison for smooth communication and coordination with relevant departments on various projects.
  • Support the activities of the Environmental Action Group (EAG) as its secretariat.
  • Ensure the practical updating of BCP/BCM program documents and various data, and manage related data.
  • Maintain close communication and coordination with facility and HR teams to ensure rapid response during emergencies.
  • Support the operation of the emergency contact confirmation system, maintenance of contact list data, and initial response during emergencies (e.g., data aggregation).
  • Engage in business continuity actions from an administrative and communication perspective as a member of the emergency response team during an emergency.
  • Proactively challenge new and complex issues with a demonstrated bias for action and growth mindset.
  • Build and maintain strong collaborative relationships with diverse internal and external stakeholders to facilitate smooth project execution and daily operations.
  • Utilize analytical and logical thinking skills to identify issues independently and propose/implement operational improvements and efficiencies as a self-starter.

Requirements

  • Basic understanding of EHS&S-related regulations and laws, or a willingness to learn.
  • Excellent practical execution skills for smooth document creation, data management, and multitasking.
  • High PC skills (Windows, data aggregation in Excel, Word, PowerPoint, internal portal management such as SharePoint).
  • Proven action orientation and growth mindset, actively challenging new and complex issues.
  • Ability to build and maintain strong collaborative relationships with diverse internal and external stakeholders.
  • Analytical and logical thinking skills to identify issues independently and propose/execute operational improvements and efficiencies as a self-starter.
  • Business level Japanese (fluent reading, writing, and conversation).
  • Business level English (reading, writing, email, system input, understanding of global documents; conversational ability for daily conversation and business coordination is sufficient, with an emphasis on willingness to improve).
