About the Role

The HR & Payroll Specialist is responsible for accurate and timely payroll administration and provides operational support across key Human Resources functions. This position partners with members of the Human Resources Department to maintain accurate employee and payroll records, support compliance, respond to employee inquiries, and assist with HR projects and audits.

Responsibilities

  • Process semi-monthly and special payrolls, including data validation, entry, review, and funding requests.
  • Maintain accurate payroll and employee records for various changes like promotions, transfers, and compensation adjustments.
  • Create new hire payroll system profiles, assign PTO, and prepare new-hire documentation.
  • Process employee separations, calculate final wages, and coordinate payments.
  • Troubleshoot payroll and system issues with ADP Workforce Now, manage tax notices, and submit amendments.
  • Prepare and monitor 401(k) funding requests and audit employee deferral information.
  • Prepare and submit required payroll-related tax, statistical, and regulatory filings and payments.
  • Manage payroll adjustments including returned payments, reissuance, and manual checks.
  • Audit employee data across HR, payroll, retirement, and other systems for consistency.
  • Maintain payroll system configuration, including calendars, holiday schedules, and PTO.
  • Create and distribute reports using ADP Workforce Now and other approved systems.
  • Respond to employee inquiries regarding payroll, timekeeping, attendance, and HR policies.
  • Support HR team members with benefits administration, audits, and special projects.
  • Maintain the confidentiality and security of sensitive employee and payroll information.
  • Support recruitment activities including job postings, interview scheduling, and candidate communication.
  • Perform other duties and responsibilities as assigned.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, Accounting, Finance, or a related field, or an equivalent combination of education and relevant experience.
  • Three to five years of related payroll and/or human resources experience.
  • Working knowledge of payroll practices, wage and hour requirements, payroll taxes, and payroll recordkeeping is preferred.
  • Strong verbal and written communication and interpersonal skills.
  • Ability to collaborate effectively and professionally with team members at all levels.
