About the Role

The Academic Administrative Assistant provides essential administrative support for K-8 programs at San Francisco Friends School, with a focus on supporting the Director of Community and Belonging and academic administrators. This role is adaptable to the evolving administrative needs of the school and reports to the Director of Community & Belonging.

Responsibilities

  • Support academic leadership with day-to-day administrative tasks.
  • Support and work with academic administrators on major school events, including attendance at evening events.
  • Coordinate with academic administrators to implement student-centered events.
  • Coordinate with academic administrators to implement student-centered projects.
  • Assist academic administrators and faculty/staff clerks with scheduling and organization for faculty and staff meetings.
  • Manage student transcript requests.
  • Support management of student records for accuracy and completeness.
  • Partner with the High School Transition Coordinator to support the HS process with academic documents.
  • Assist the Director of SIS & Data Operations with content collection for various portals, data migration projects, and forms.
  • Assist the Division Heads to support the academic progress reporting process.
  • Provide organization and administrative support for special projects as needed.
  • Assist with meetings related to academic administration, including agendas, note-taking, and calendaring.
  • Support academic administrators on school communications.
  • Coordinate with academic administrators regarding upcoming events.
  • Assist the Director of SIS & Data Operations with database maintenance.
  • Support new family/student orientations and ongoing communications.
  • Support the academic administrators in the hiring process, managing resumes, interview schedules, and visits.
  • Support academic administrators in creating onboarding events for new families, students, and teachers.
  • Perform other duties as assigned.

Requirements

  • Bachelor’s degree or equivalent.
  • 2 or more years of relevant administrative experience.
  • Experience with Google Suite (mail, calendar, docs, etc.) and Microsoft Office Suite.
  • Experience working with databases (Veracross).
  • Trained or willing to train in First Aid.
  • Must pass a background check, fingerprinting, and TB screening.
  • Flexibility to work occasional evenings/weekends/overtime during busy times.
  • Ability to work independently and as a collaborative team member.
  • Professional demeanor, with ability to remain poised under pressure.
  • Discretion and ability to handle confidential information and situations.
  • Ability to exercise judgment and prioritize work.
  • Ability to work equally well with a diversity of constituents including students, parents, faculty, staff, administrators, alumni and vendors.
  • Must be able to reach with hands and arms.
  • Must occasionally lift and/or move up to 10 pounds.
