About the Role

The Legal Executive Assistant provides high-level administrative support to attorneys in the Tax group, including back-up support to the head of the department and other team members. This role involves close collaboration with other Legal Executive Assistants and reporting to the Manager of Legal Executive Assistant and Paralegal Services, while also working under the direction of assigned attorneys.

Responsibilities

  • Manage calendars, including meetings, appointments, filing deadlines, and client-related activities.
  • Provide telephone support by screening calls and relaying messages accurately.
  • Coordinate travel arrangements and prepare itineraries.
  • Enter attorney time using InTapp, ensuring compliance with Firm policies and monitoring time attribution to matters.
  • Submit attorney expenses and invoices through Emburse (Chrome River).
  • Process legal documents and general correspondence, including revisions, comparisons, and drafting basic documents for attorney review.
  • Proofread materials for formatting, spelling, and grammar.
  • Handle client billing, including preparing correspondence and editing bills.
  • Monitor, review, and route incoming mail, delivering mail and flagging urgent matters.
  • Schedule in-person conference room meetings, arranging refreshments, meals, and audio/visual equipment.
  • Schedule virtual meetings using Microsoft Teams and other Firm software.
  • Coordinate package deliveries and document preparation with relevant departments.
  • Request visitor clearance with Lobby Security.
  • Monitor and manage Bar/CLE credits and dues.
  • Enter activities and maintain contact information in InterAction/Outlook, updating lists.
  • Coordinate file management with the Records Department for physical and electronic client files.
  • Prepare conflicts checks and New Matter forms, Engagement Letters, etc.
  • Perform occasional personal work.

Requirements

  • At least five (5) years of experience in a similar position in a legal or corporate environment is required.
