About the Role
Knight Frank's International Residential Super Prime team seeks an Executive Assistant to support two Partners in a fast-paced, varied, and high-profile role. This position offers a fantastic opportunity to work closely with ultra-high-net-worth individuals, international clients, and senior stakeholders, playing a pivotal role in keeping the team organized, efficient, and focused by providing first-class executive and administrative support.
Responsibilities
- Provide dedicated support to two Senior Negotiators within the International Residential Super Prime team.
- Manage complex diaries and schedules across multiple time zones.
- Coordinate meetings, agendas, and follow-up actions.
- Manage correspondence, emails, and incoming communications.
- Arrange international travel, including flights, accommodation, itineraries, transportation, and logistics.
- Process expenses and supplier invoices in line with company policies.
- Prepare professional presentations, business materials, biographies, proposals, and business documentation.
- Maintain and organize team records, documentation, and shared filing systems.
- Support client and applicant inquiries where required.
- Assist with CRM management and the maintenance of client data.
- Register new instructions and support the invoicing process for transactional sales and marketing activity.
- Maintain finance trackers and reporting records.
- Assist with the preparation of high-quality pitch materials for exclusive Super Prime listings and confidential off-market opportunities.
- Create and maintain property records, ensuring all information is accurate and up to date.
- Work closely with colleagues and the international associate network to manage property collateral and marketing materials.
- Conduct regular portfolio audits across Knight Frank platforms and associate websites.
- Support the management of Super Prime property and deal lists.
- Assist with client due diligence processes.
- Champion compliance, best practice, and quality standards throughout the sales process.
- Assist with the production of property brochures and marketing materials across print and digital channels.
- Support marketing campaigns, advertising initiatives, and promotional activity.
- Work closely with Marketing and PR teams to identify media opportunities and property features.
- Coordinate social media submissions and promotional content.
- Support the development of the team's LinkedIn and social media presence.
- Assist with ambassador programmes, Wealth Report initiatives, and client events.
- Support the planning and delivery of team events, client functions, and business development activities.
- Assist with ad hoc projects and strategic initiatives as they arise.
- Contribute to the smooth running and continued success of the wider Super Prime team.
Requirements
- Previous experience as an Executive Assistant, Personal Assistant, or Team Assistant within a professional services, property, or client-focused environment.
- Experience producing professional presentations, proposals, and client-facing materials.
- Strong diary management and international travel coordination experience.
- Experience working with senior stakeholders and external clients.
- Knowledge of CRM systems and document management platforms desirable.
- Additional European language skills would be advantageous but are not essential.

- Experience using, or the ability to quickly learn: Microsoft Office Suite, Workday, SAP / Working Life HUB (Property Management System), Frontify, Dotdigital, LinkedIn and Instagram, Microsoft Teams and Google Workspace.
