About the Role
Support a major technology-enabled transformation program in a public sector organization by coordinating change and training deliverables. This multi-year program focuses on transitioning a large public-sector organization to new systems, processes, roles, and ways of working, involving complex change across various business functions and stakeholders.
Responsibilities
- Coordinate day-to-day change and training activities across a complex transformation program.
- Support change managers, communications specialists, training leads, instructional designers, readiness leads, and program managers with planning, tracking, logistics, and reporting.
- Maintain action logs, RAID inputs, stakeholder input trackers, training schedules, attendance records, completion reports, document registers, and version control logs.
- Coordinate workshops, meetings, engagement sessions, training events, readiness reviews, and hypercare support activities.
- Help prepare meeting packs, working papers, training materials, status reports, dashboards, and supporting analysis.
- Track change and training deliverables against program milestones, escalating gaps, dependencies, or overdue actions.
- Support the collection and organization of evidence for readiness, training completion, adoption reporting, governance reviews, and audit-safe documentation.
- Help coordinate updates to job aids, FAQs, user guides, quick reference materials, and training support content during deployment and hypercare.
- Maintain accurate records, trackers, and document controls for a reliable source of truth.
- Help ensure change and training materials are appropriately versioned, reviewed, approved, and stored.
- Raise risks early where actions, inputs, materials, attendance, completion data, or dependencies may affect delivery.
- Handle stakeholder and learner information carefully, following applicable privacy, security, and client documentation requirements.
- Support transparent reporting by ensuring status updates are based on current, accurate, and traceable information.
- Help the change and training team operate efficiently by keeping activities organized, visible, and on track.
- Support knowledge transfer by maintaining clean records, handover materials, trackers, and document repositories.
- Contribute to continuous improvement by identifying ways to simplify coordination, improve reporting, and reduce duplication.
- Work collaboratively with client teams, consultants, technology partners, and delivery resources to support one integrated program team.
- Support a healthy, inclusive, and well-organized working environment for project teams and client stakeholders.
- Help reduce delivery pressure by keeping actions, meetings, materials, training activities, and evidence well coordinated.
- Support inclusive change and training delivery by helping ensure materials, sessions, and stakeholder engagement activities are accessible, well prepared, and appropriately documented.
Requirements
- Minimum 2 years of experience in project coordination, program coordination, change coordination, training coordination, learning administration, or transformation support.
- Strong organizational skills with the ability to manage multiple trackers, meetings, action logs, deadlines, and deliverables simultaneously.
- Experience supporting change management, training, communications, stakeholder engagement, and technology transformation activities.
- Ability to coordinate training schedules, learner attendance, completion tracking, training materials, and session logistics.
- Experience maintaining document control, version control, reporting inputs, and preparing meeting packs, status updates, trackers, and written summaries.
- Proven ability to work effectively with multiple stakeholders in fast-paced environments while proactively following up on actions, inputs, and deadlines.
