About the Role

The Scheduling Coordinator is responsible for supporting the day-to-day scheduling of caregivers, Personal Support Workers, nurses, and other care staff. This role requires strong communication skills, attention to detail, and the ability to respond quickly to changing client and staffing needs. The successful candidate must be organized, professional, and comfortable working in a fast-paced environment where priorities can change throughout the day.

Responsibilities

  • Coordinate and maintain staff schedules based on client care needs and employee availability
  • Communicate with caregivers, clients, families, and internal team members in a professional manner
  • Fill open shifts, manage schedule changes, and assist with last-minute staffing needs
  • Confirm staff attendance, availability, and shift details as required
  • Update scheduling software and maintain accurate scheduling records
  • Respond to calls, emails, and scheduling inquiries in a timely manner
  • Escalate client concerns, staffing issues, cancellations, or urgent matters to management when needed
  • Support continuity of care by helping ensure consistent staffing whenever possible
  • Follow company policies, confidentiality requirements, and documentation procedures
  • Assist with other administrative and operational duties as assigned

Requirements

  • Previous scheduling, staffing, administrative, or customer service experience is preferred
  • Experience in home care, health care, staffing, or a related environment is an asset
  • Strong verbal and written communication skills
  • Excellent organizational and time-management skills
  • Ability to multitask and remain calm under pressure
  • Strong attention to detail and accuracy
  • Comfortable using scheduling software, email, Microsoft Office, and phone systems
  • Professional, dependable, and able to work both independently and as part of a team
  • Ability to handle confidential information with discretion
  • Ability to work in a high pace environment and handle stressful situations
