About the Role

Transgrid's commercial team is seeking a Contracts Administrator to manage the contract cycle for project delivery contracts. This role involves working closely with various project stakeholders to ensure smooth contract administration for both prescribed and non-prescribed projects. It's ideal for an organized and accurate individual with a background in contract or construction project administration within the energy infrastructure sector.

Responsibilities

  • Prepare contractual notice templates at the start of projects.
  • Track contract management tasks in the Contract Actions Register, Variation Register, and EOT Register.
  • Ensure Contract Managers are aware of upcoming deadlines.
  • Record incoming notices, claims, and schedules, and maintain register currency.
  • Manage the housekeeping of contract notices, claims, and program schedules.
  • Draft correspondence on behalf of Contract Managers to internal and external stakeholders.
  • Assist with the submission of notices, claims, and other contractual documents.
  • Prepare the Contract Commercial Manual.
  • Assist with the compilation of financial, dashboarding, and KPI information for the program.
  • Interrogate construction schedules to support regular project status reports.
  • Support the preparation of monthly project reports for prescribed and non-prescribed projects.
  • Ensure project report information is accurate and delivered on time.
  • Coordinate with internal stakeholders on document control compliance.
  • Explain policies clearly and manage issues as they arise.
  • Build good working relationships across the project team and maintain straightforward communication.
  • Identify simpler ways to improve invoicing and document control processes.
  • Identify stakeholders affected by proposed changes.
  • Assist in implementing approved process improvements.

Requirements

  • Demonstrated experience in contract administration, construction project administration, or a closely related role.
  • High level of diligence and accuracy in tracking work, document naming, filing, and managing contract registers.
  • Proficiency with the MS Office Suite including Word, Excel, and Outlook.
  • Strong document management skills with familiarity across a variety of document management systems.
  • Good analytical and problem-solving ability with a proactive approach to issues.
  • Strong time management skills with the ability to juggle competing priorities and meet deadlines.
  • Clear written and verbal communication skills.
  • Ability to build rapport with a range of stakeholders.
  • Ability to present information concisely.
