About the Role

Executive Assistant providing high-level administrative support to Senior Executive and team. Performs diverse, advanced and confidential administrative support duties including comprehending and responding to complex correspondence internally and externally. Relieves management of administrative tasks; gathers, compiles and reports information relevant to/for the executive and team. Communicates with executives and line management to gather/convey relevant information. Meaningfully contributes to the overall productivity of the team through effective planning and efficient performance of the role.

Responsibilities

  • Extensive calendar management, requiring interaction with both internal and external executives and assistants, to coordinate a variety of complex executive meetings.
  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently.
  • Assist preparation of presentation materials.
  • Compose correspondence, create and modify documents/presentations using Microsoft Office.
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
  • Arrange travel schedule and reservations for executive management as needed.
  • Prepare T&E claims in line with company policy.
  • Perform general clerical duties to include photocopying, mailing, and filing.
  • Maintain hard copy and electronic filing system.
  • Sign for mails and packages.
  • Coordinate and maintain records for staff office space and phones as necessary.
  • Communicate and handle incoming and outgoing electronic communications.
  • Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail as necessary.
  • Other ad-hoc duties as assigned.
  • Roadshow coordination: Coordinate all aspects of domestic and international client roadshows, including booking banker and client flights, accommodation, ground transportation and group events.
  • Manage venue sourcing, meeting room bookings and catering requirements.
  • Prepare and distribute final schedules, briefing packs and travel documents.
  • Monitor travel changes and promptly resolve logistical issues.
  • Build and maintain detailed roadshow itineraries using BTS (Buy The Sell).
  • Act as the primary point of contact for corporate clients and internal teams regarding roadshow logistics.
  • Maintain accurate records of roadshow activity, attendee information and client interactions.
  • Prepare meeting schedules, attendee lists and briefing materials.
  • Track budgets and expenses associated with roadshows and events for client invoicing.
  • Ensure compliance with internal policies, regulatory requirements and information barrier procedures.

Requirements

  • Held a similar position and can demonstrate an understanding of the role and responsibilities.
  • Strong organization and planning skills, can manage multiple changing and conflicting priorities.
  • High energy, mature with positive and can-do attitude.
  • Able to record, transcribe and distribute minutes of meeting, audio typing skill is a must.
  • Flexibility on working hours.
  • Detail-oriented.
  • Experience in heavy calendar management.
  • Experience in managing email/written communications.
  • Previous work in an Investment Bank environment would be an advantage.
  • Has financial industry knowledge.
  • Strong English verbal and written skills.
  • Microsoft Office (including Word, Excel and PowerPoint).
